ROLES AND RESPONSIBILITIES

Order Management & EDI Operations

  • Oversee the order-to-ship workflow, including purchase order intake, validation, allocation, release, shipment confirmation, and resolution of order exceptions.
  • Manage day-to-day electronic data interchange (EDI) transactions and integrations with retailers, customers, 3PL partners, and internal systems; ensure data accuracy and timeliness.
  • Monitor applicable EDI document flows (such as purchase orders, acknowledgments, advance ship notices, invoices, and inventory updates); coordinate troubleshooting of failed or discrepant transactions.
  • Maintain customer-specific order, routing, labeling, packaging, documentation, and EDI compliance requirements; minimize fulfillment errors, deductions, and chargebacks.
  • Work with Sales, Customer Service, IT, and 3PL partners to resolve order holds, short shipments, cancellations, and system or master-data issues.

3PL & Warehouse Operations

  • Manage operational relationships with 3PL providers and warehouses; oversee receiving, put-away, storage, picking, packing, outbound processing, and returns handling.
  • Set service expectations and evaluate 3PL performance against agreed service-level agreements (SLAs), including order accuracy, turnaround time, throughput, and on-time shipments.
  • Escalate and resolve warehouse capacity constraints, inventory variances, shipment errors, damages, and recurring operational deficiencies; drive corrective actions.
  • Oversee warehouse operating procedures, shipping and receiving controls, customer compliance requirements, and appropriate product handling practices.
  • Validate 3PL billing, accessorial charges, and performance reporting against contracts and service records; support vendor reviews and contract or rate discussions.

Inventory Control & Product Integrity

  • Maintain accurate inventory records across company systems and all warehouse/3PL locations, with visibility into available, committed, damaged, returned, and held stock.
  • Coordinate cycle counts, physical inventories, stock adjustments, reconciliations, and root-cause analysis of shrinkage or inventory discrepancies.
  • Monitor inventory availability, aging, lot/batch identifiers, shelf life, expiration dates, and stock rotation (such as FEFO/FIFO when applicable); communicate risks to Supply Planning and Sales.
  • Coordinate inventory transfers, returns, write-offs, product holds, and disposition of damaged or nonconforming goods with the authorized internal stakeholders.
  • Support QA-led product traceability, recall/withdrawal readiness, and warehouse food-safety or storage-control requirements as applicable; promptly escalate product integrity concerns.

Transportation, Delivery & Reverse Logistics

  • Plan and oversee daily outbound shipments, delivery schedules, carrier coordination, freight appointments, and related shipping documentation.
  • Monitor shipment tracking, proof of delivery, delivery exceptions, shortages, damages, and missed appointments; resolve issues with carriers, warehouses, and customers.
  • Ensure compliance with customer routing guides, packaging, labeling, pallet configuration, appointment windows, and other retail or distributor delivery specifications.
  • Evaluate shipping methods, freight rates, carrier service, and accessorial costs; support freight optimization, claims handling, and dispute resolution.
  • Manage returns, refusals, recovery activities, and reverse-logistics workflows, ensuring accurate records and timely customer communication.

Customer Account & Cross-Functional Coordination

  • Collaborate with Sales on customer service needs and promotional or launch execution; coordinate with Supply Planning on stock constraints and allocation priorities.
  • Partner with Finance on invoice or deduction discrepancies and with QA on damaged, expired, or potentially nonconforming products; escalate issues through appropriate channels.

Performance, Cost Control & Continuous Improvement

  • Track and report key operational performance indicators, including on-time/in-full (OTIF) delivery, order accuracy, fill rate, inventory accuracy, EDI exception rate, warehouse productivity, freight cost, and customer chargebacks.
  • Analyze operational data to identify recurring failures, process bottlenecks, service risks, and opportunities to improve cost, speed, accuracy, and customer satisfaction.
  • Monitor logistics and warehouse expenses, support budget planning, and review freight, 3PL, storage, and other fulfillment invoices for accuracy and adherence to approved terms.
  • Create, maintain, and improve standard operating procedures (SOPs), escalation paths, dashboards, and internal controls for fulfillment and warehouse workflows.
  • Support ERP, warehouse management (WMS), transportation management (TMS), and EDI system improvements, testing, integration, training, and process standardization.

Team Leadership & Operational Risk Management

  • Conduct regular operating reviews with external partners and internal stakeholders; follow through on issue logs, improvement initiatives, and corrective actions.
  • Anticipate capacity constraints, peak-volume periods, inventory disruptions, transportation failures, and other fulfillment risks; establish contingency and escalation plans.
  • Promote accurate documentation, operational accountability, safe working practices, and effective collaboration across departments.
  • Perform other related duties as assigned, consistent with the position and business needs.
