Utilities consistently tell us that Klir has transformed the way they work - and we’re now hiring a Executive Assistant & Office Lead to manage a portfolio of customers through consistent execution, proactive engagement, and repeatable value delivery. 


Location: This position is hybrid (2-days in office) & based in Toronto.


Why this role exists

Klir is a fast-moving, founder-led company. Klir's CEO, COO, and CPO move fast and carry a wide remit. This role exists to make sure nothing slips through the cracks.

You'll be the link between three executives, the SLT, and the rest of the business. You'll also be the person who makes our Toronto office a reflection of the culture we're building, and a reliable and capable hand in keeping our shared services (HR, Finance, IT) running smoothly.

What you'll own

Executive support - primary responsibility

Supporting the CEO, COO, and CPO across:

  • Calendar and inbox management: you're not just scheduling, you're making judgment calls about what matters, what can wait, and what should never reach the exec at all
  • Exec & SLT meeting preparation and follow-through: briefs in advance, clear actions captured, accountability tracked
  • Board and investor materials: pulling data, structuring narratives, ensuring decks are tight and on-brand before they go anywhere
  • Drafting and editing internal and external communications on behalf of the exec team
  • Running point on cross-functional projects where the exec team is the sponsor but someone else needs to own the legwork
  • Helping translate company strategy into team-level goals each quarter, and keeping those goals visible and alive through the quarter

Toronto office

We have a great space. You'll make sure it stays that way:

  • Day-to-day facilities: vendor relationships, supplies, space management, the things that keep an office functional
  • Being the face of the Toronto team culture - welcoming new hires, organising team moments, making sure the office reflects the company we're building
  • Acting as the eyes and ears for the SLT to support healthy 2-way communication between leadership and our global teams 
  • Acting as the local point of contact for anything physical that needs someone present

Operational support to shared services

We have VPs of HR and Finance and strong teams in place. You won't run those functions, but you'll be a reliable operational hand when they need one:

  • Supporting onboarding logistics, contract coordination, or admin workflows
  • Helping IT with device and access coordination for Toronto-based team members
  • Picking up time-sensitive tasks that cross functional lines
  • Event planning, communication, and logistics (with some ad-hoc responsibilities for the Dublin office when required) 

The competencies we're hiring for

We care far more about how you think and operate than what your Resume says your last title was.

Judgment under ambiguity. You make good decisions when the answer isn't obvious and the person who could tell you is in a board meeting. You know when to act, when to wait, and when to escalate.

Operational clarity. You take something messy — a cluttered inbox, an undefined project, a scheduling conflict — and you make it clean. You leave things in better shape than you found them.

Communication. You write well. Concisely, clearly, and in a voice that fits the context. You can draft an investor update and a team Slack message and both will land correctly.

Discretion. You'll be close to sensitive conversations, decisions, and information. This role requires someone who takes confidentiality seriously as a default, not an afterthought.

Adaptability. No two weeks look the same. You don't need a fully-defined role to operate at a high level. You find the highest-value thing to do and you do it.

AI fluency. You don't wait to be told about a better way to work. You're already using AI tools to draft faster, summarise smarter, and cut the admin that used to eat hours. You bring that instinct to everything you touch and help the people around you do the same.

Cultural presence. In Toronto, you'll be one of the most visible people in the office. You bring energy, warmth, and a sense of fun without sacrificing professionalism.

What we're not prescriptive about

You don't need a specific number of years as an EA. You don't need to have come from a large corporate environment, in fact, if you did, you'll need to genuinely leave that operating model at the door. What matters is that you can point to evidence, from wherever it comes, that you operate at a high level when things are fast, ambiguous, and high-stakes.

Backgrounds we'd be open to: EA/PA, operations, project management, chief of staff, office management, early-stage startup generalist, even a strong candidate from outside the traditional EA path who can demonstrate the competencies above.

Compensation & Timing & Travel

  • Salary: CAD $90,000–$100,000 annually
  • Benefits: Canadian benefits package, unlimited vacation
  • Travel: Occasional travel for company / leadership events
