Position Summary:
The Payroll Administrator owns accurate, on-time, and tax-compliant payroll for MDpanel associates in the US and Canada. The role runs payroll end to end each cycle, manages payroll tax withholding, deposits, and filings across federal, state, local, and provincial jurisdictions, and supports payroll integration when MDpanel acquires a company.
It is the main payroll partner for People Operations and Finance and ensures associates are paid on time and without error.
This role is a strong fit for an experienced payroll professional with hands-on payroll tax experience who wants a focused, part-time schedule. Experience across the US and Canada and with acquisitions is strongly preferred.
Essential Duties and Responsibilities:
Payroll processing
Run payroll end to end for each pay cycle in the US and Canada. Review time and attendance, earnings, deductions, benefits, and garnishments before each run, and audit results, so anomalies are caught before they reach associates. Process off-cycle payments, bonuses, and final pay in line with state and provincial requirements.
Payroll tax compliance
Manage payroll tax withholding, deposits, and quarterly and annual filings across US federal, state, and local jurisdictions and Canadian federal and provincial jurisdictions (including CRA remittances, CPP/QPP, and EI). Register new tax accounts as MDpanel hires in new states and provinces and keep existing accounts current.
Year-end reporting and agency notices
Prepare, reconcile, and distribute year-end forms (W-2, T4, and RL-1 where applicable), and process amended filings and corrections. Respond to tax agency notices promptly, find the root cause, and resolve discrepancies so they don't recur.
Acquisitions and payroll integration
Bring associates from acquired companies onto MDpanel's payroll. Collect and validate payroll and tax history, map pay codes, deductions, and benefits, and set up or transfer state, local, and provincial tax accounts. Run test payrolls where needed, so new associates are paid correctly from their first MDpanel pay cycle.
Reconciliation and reporting
Reconcile payroll to the general ledger for each cycle and support Finance with accruals, month-end close, and audits. Provide payroll and labor cost reporting for leadership on a regular cadence.
Associate support and process
Answer associate payroll and tax questions clearly and confidentially. Monitor payroll tax law changes in the US and Canada and update processes and system settings accordingly. Document repeatable payroll procedures, so payroll runs consistently as MDpanel grows.
Qualifications and Preferred Skills:
- Five or more years of hands-on payroll experience, including running payroll end to end.
- Direct payroll tax experience, including multi-state withholding, tax deposits, quarterly and annual filings, and agency notice resolution.
- Experience preparing and reconciling year-end tax forms.
- Comfort with a major payroll platform and strong Excel skills for reconciliations.
- High attention to detail and the ability to meet firm payroll deadlines.
- Sound judgment and discretion with confidential associate information.
- Clear, concise written and verbal communication, and the ability to work independently with limited direction.
Nice to have:
- Strongly preferred: experience running payroll across both the US and Canada, including CRA remittances, CPP/QPP and EI, provincial tax, and T4/RL-1 reporting.
- Strongly preferred: experience integrating payroll for acquired companies, including data migration, pay and deduction code mapping, and tax account setup or transfer.
- Experience at a growing, multi-entity, or multi-state company.
- Comfort with productivity and AI tools, and quick to learn new systems.
- A degree in accounting, finance, business, or related field, or equivalent work experience.
Work Setting:
Remote, home-office based, with regular video meetings with People Operations and Finance.
