About the Role

The Treatment Coordinator serves as the bridge between the treatment recommended by our clinical team and the patient’s commitment to moving forward with care.

This role is responsible for helping patients fully understand their treatment needs, feel confident in their options, and remain supported throughout the financial, scheduling, and treatment acceptance process. The Treatment Coordinator serves as both a patient advocate and an operational partner to the Dentists and office leadership team.

This is not simply a scheduling or front-desk position. The Treatment Coordinator directly impacts patient trust, treatment acceptance, patient retention, collections, schedule productivity, practice growth, and the overall patient experience.

Success in this role requires emotional intelligence, confidence, professionalism, organization, strong communication and financial conversation skills, operational awareness, attention to detail, and consistent follow-through.

What You’ll Do

Patient Experience & Treatment Coordination

  • Lead treatment presentation conversations and ensure patients understand their diagnosis, recommended treatment, and the importance of completing care
  • Help patients feel informed, comfortable, supported, and confident moving forward with treatment
  • Clearly and professionally explain insurance estimates, patient portions, payment options, third-party financing, and approved payment arrangements
  • Identify financial, scheduling, or emotional barriers that may prevent patients from accepting treatment and proactively help find appropriate solutions
  • Answer patient questions and address concerns promptly, professionally, and empathetically
  • Build patient trust through clear communication, consistency, and reliable follow-through
  • Support smooth handoffs between the clinical and administrative teams
  • Ensure every patient interaction reflects Morton Dental Group’s commitment to exceptional, patient-centered care

Treatment Acceptance & Follow-Up

  • Maintain an accurate and active pending-treatment list
  • Complete consistent and timely follow-up with patients who have unscheduled treatment
  • Help patients schedule recommended treatment before leaving the office whenever possible
  • Track treatment presented, treatment accepted, and treatment acceptance percentage
  • Identify trends and opportunities to improve case acceptance and scheduling efficiency
  • Maintain accurate documentation of treatment conversations, financial arrangements, and patient follow-up
  • Support same-day treatment opportunities when clinically and operationally appropriate
  • Help keep the schedule productive by filling openings with outstanding treatment

Financial & Operational Responsibilities

  • Prepare for the day by reviewing schedules, treatment opportunities, patient balances, expected copayments, and financial notes
  • Clearly communicate estimated patient portions before treatment
  • Collect patient portions at the time of service according to company protocols
  • Review and address outstanding balances before scheduled appointments
  • Support patient accounts receivable and financial follow-up efforts
  • Verify insurance eligibility and assist in providing accurate benefit estimates
  • Maintain accurate patient financial records and documentation
  • Participate actively in Morning Huddle, prepared to discuss scheduled patients, financial considerations, and treatment opportunities
  • Support strong collections performance and consistent revenue-cycle execution
  • Maintain compliance with HIPAA, company protocols, and all applicable regulatory standards
  • Support the continued development and consistent execution of Treatment Coordinator systems and workflows

Team & Culture Responsibilities

  • Collaborate closely with Dentists, hygienists, dental assistants, Patient Care Coordinators, and office leadership
  • Contribute positively to office culture and team morale
  • Maintain professionalism and emotional maturity during stressful or sensitive situations
  • Communicate respectfully and effectively with patients, team members, and leadership
  • Demonstrate accountability, reliability, and strong attention to detail

Required Qualifications

  • Prior experience in a dental office or other patient-facing dental role
  • Strong communication, relationship-building, and interpersonal skills
  • Confidence discussing treatment costs and financial options with patients
  • Ability to communicate sensitive financial information with professionalism and empathy
  • Strong organization, prioritization, and follow-through
  • Ability to multitask effectively in a fast-paced environment
  • Reliable attendance and punctuality
  • Professional appearance and demeanor
  • Strong attention to detail and operational awareness
  • Ability to remain calm and professional during difficult or emotionally sensitive conversations
  • Ability to protect confidential patient and financial information

Preferred Qualifications

  • Previous Treatment Coordinator, Scheduling Coordinator, Patient Care Coordinator, or dental front-office experience
  • Experience presenting comprehensive dental treatment plans
  • Knowledge of dental terminology, procedures, insurance benefits, and patient financial arrangements
  • Experience with third-party patient financing programs
  • Experience using dental practice management software
  • Experience tracking treatment acceptance, collections, or other office performance metrics
  • Experience in a high-volume or fast-paced dental office

Schedule

Current office hours:
Monday–Friday
6:30 AM–4:00 PM

This is a full-time, in-person position with no nights or weekends. Team members are expected to arrive consistently on time and prepared for Morning Huddle and daily operations.
