The Team You Will Join

You’ll be part of the Registrar team, working closely with the Registrar Supervisor and collaborating with school staff, administrative teams, other schools, outside agencies, and internal departments.


The Registrar team is responsible for maintaining accurate student records, supporting enrollment and registration processes, responding to records requests, and ensuring student information is handled accurately and in accordance with applicable requirements.


The team culture is organized, collaborative, detail-oriented, and compliance-focused, with opportunities to strengthen school operations, support students and families, and help ensure accurate and timely student records.


The Difference You Will Make

In this role, your work will directly impact students, families, educators, and school operations by ensuring student records and information are accurate, organized, accessible, and maintained in accordance with applicable school, district, state, and federal requirements.


You’ll help maintain permanent student records and testing information, support enrollment and registration activities, process records requests, and collaborate with internal and external partners to ensure student information is handled appropriately.


Your attention to detail and timely follow-through will help create a positive enrollment experience while supporting Primavera’s commitment to accurate records and strong school operations.


A Typical Day Looks Like

While no two days are exactly the same, you can expect to:

  • Maintain accurate permanent student records, cumulative folders, transcript files, demographic information, and test scores for enrolled and incoming students.
  • Ensure student records and information remain compliant with applicable school, district, state, and federal requirements.
  • Process student record requests accurately and within required timeframes.
  • Respond to written requests from appropriate agencies and individuals regarding student information and records.
  • Answer inbound calls regarding student enrollment status and records requests.
  • Collaborate with other schools and outside agencies regarding student records.
  • Work with appropriate teams to ensure accuracy and adherence to requirements related to admissions, registration, withdrawal, guardianship, and student transfers.
  • Evaluate routine transcripts for new students to determine appropriate and equivalent awarding of credits and grade placement.
  • Collaborate across departments to facilitate a positive and professional enrollment experience, providing requested information or directing prospective students to the appropriate department when needed.
  • Support assigned administrative personnel with administrative functions and related tasks.
  • Occasionally assist with front desk coverage.
  • Use electronic systems and equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
  • Complete other duties as assigned.

This role balances independent work, collaboration, structure, and problem-solving and is well-suited for someone who enjoys managing detailed information, supporting students and families, communicating clearly, and working with purpose.


Your Expertise Includes

We’re looking for someone who brings:

  • Exceptional attention to detail and a high level of accuracy.
  • Strong organizational, filing, and time-management skills.
  • The ability to effectively manage time-sensitive work while maintaining composure, professionalism, and a positive attitude.
  • Strong written and verbal communication skills.
  • The ability to handle confidential student information with professionalism and discretion.
  • The ability to work effectively with internal teams, schools, outside agencies, and other stakeholders.
  • Strong data-entry and administrative skills, including the ability to work efficiently with electronic systems and information-management tools.
  • Keyboarding proficiency of at least 50 words per minute with a minimum number of errors.
  • General bookkeeping skills.
  • High School Diploma or GED.
  • 2+ years of experience in an administrative office position.
  • Successful completion of a fingerprint background check.
  • This position requires availability to work core business hours of 8:00 AM to 5:00 PM Arizona time, Monday through Friday.
  • Must be available to work in person for approximately six weeks each year to support Arizona state testing, including travel to assigned testing locations.
  • Valid IVP Clearance Card

Bonus points if you also have:

  • Experience working in an educational environment.
  • Experience working with student records, enrollment, transcripts, or other education-related administrative processes.
  • Experience working with electronic student information or records-management systems.
