Role Overview
As the APAC Event Producer, your primary remit will be to plan, build, and deliver assigned Evo events and activations across APAC, from production planning and vendor sourcing through on-site execution. You will be at the center, driving cross-functional alignment across Product, Marketing, Event Operations, Broadcast Production, and Business Development from initial concept through to on-site delivery.
This role sits within the Evo Product & Community organization and manages day to day coordination across internal teams, local production partners, venues, and vendors. You will ensure that master project milestones, event product features, show programming and on-site experiential builds land on schedule, within budget, and to the highest standard of execution.
The ideal candidate combines hands-on event production experience, strong vendor management skills, budget discipline, with a collaborative approach to solving operational problems, and an understanding of the competitive video games landscape.
Reporting Structure
You will report to Evo’s General Manager.
Key Responsibilities
APAC Event Planning & Delivery
- Develop production plans and detailed schedules for assigned APAC events, translating approved concepts into venue requirements, layout and staffing plans, vendor briefs, and build, rehearsal, and event-day milestones.
- Work with local venues and production partners to adapt event delivery to each market’s language needs, venue procedures, and operating conditions.
- Manage day to day dependencies across internal teams for assigned events, resolve operational issues, and escalate resource conflicts or decisions that materially affect scope, budget, or timing.
- Assess proposed changes to events, document their downstream impact on schedules, vendor scopes, and costs. Gain alignment and approval(s) for material changes prior to implementation.
- Proactively identify delivery bottlenecks and operational risks well ahead of event windows, implementing practical solutions and contingency plans to maintain delivery excellence.
- Use and maintain event planning templates and documentation while recommending improvements needed to execute in APAC.
Show & Business Partnerships Delivery Support
- Work with Business Development and Product to develop clear, cross-functional execution plans for agreed partner commitments, including game publisher showcases, strategic partner activations, and regional operating partnerships.
- Coordinate across Broadcast, Creative, and Event Ops to ensure partner deliverables (stage share-of-voice, show floor footprints, digital broadcast assets, and promotional integrations) land seamlessly without compromising tournament flow.
- Partner with internal account managers to monitor and confirm the accurate on-site and on-stream delivery of all contracted partner inventory and experiential commitments.
Financial Management & Tracking
- Prepare production estimates and manage approved budgets for assigned events, tracking vendor commitments, actual costs, forecasts, and variances in coordination with Finance and relevant department leads.
- Work with Finance to reconcile final event production expenditures and partner fulfillment reports against initial baseline budgets.
Vendor Sourcing & Management
- Source and evaluate venues, production partners, and event vendors in Japan and assigned markets. Prepare briefs, compare proposals, and recommend suppliers based on capability, quality, availability, and cost.
- Define vendor scopes, deliverables, and schedules, and manage day-to-day vendor relationships. Negotiate pricing and delivery terms within approved parameters, coordinate contract review and approvals with internal teams, and resolve supplier issues throughout planning and on-site delivery.
- Track vendor milestones, verify delivery against agreed scopes, and coordinate invoice approval and cost reconciliation with the relevant internal owners.
On-Site Delivery & Post-Event Reporting
- Lead on-site production for assigned events, coordinating vendors and event crews through load-in, setup, rehearsals, live delivery, and breakdown.
- Maintain clear operational swimlanes with Event Operations on venue logistics and tournament floor flow, and with Broadcast Production on control room and stream execution.
- Lead cross-functional post-mortems, documenting vendor performance and delivery lessons, and recommend improvements for future events.
Qualifications
- 5+ years in live event production or operations, including independently delivering events or substantial production workstreams and working with venues and vendors in Japan.
- Professional fluency in Japanese for vendor management and on-site delivery, and business-level English for international coordination and reporting.
- Experience managing multiple production workstreams, schedules, budgets, and vendors, including proposals, scopes of work, contracts, purchase orders, and cost reconciliation.

- Working knowledge of live event and venue operations, including coordination with broadcast, creative, and tournament teams.
- Ability to work in Japan
