About the role

We’re hiring for our Provider Support Coordinator. We're seeking a detail-oriented and empathetic Provider Success Coordinator to serve as the primary point of contact for our network of therapists and nurse practitioners. In this role, you'll guide providers through their entire journey with our organization - from their first day of onboarding through ongoing support and, when necessary, offboarding. You'll be instrumental in ensuring our providers have the resources, support, and positive experience they need to deliver exceptional mental health care to our patients. This is a high-impact role reporting directly to Sr. Manager of Provider Operations

What you'll do

Day-to-day ticket handling and provider support

  • Serve as the first point of contact for provider questions, concerns, and administrative requests via ticketing system
  • Handle high-volume, repeatable ticket types accurately and consistently against documented processes
  • Troubleshoot platform-related issues and coordinate with technical teams for resolution, escalating to the Senior Associate when a ticket requires deeper investigation or judgment

Onboarding and offboarding coordination

  • Coordinate comprehensive onboarding for new therapists and nurse practitioners, ensuring all steps are completed accurately and on time
  • Track onboarding milestones against defined checklists and proactively flag any delays or blockers to the Senior Associate
  • Maintain accurate provider records and documentation throughout the onboarding process and across the provider lifecycle
  • Handle offboarding procedures with professionalism and care when providers transition out, following established processes

Data entry and record maintenance

  • Maintain accurate and up-to-date provider records across systems including HubSpot, Flock, and Verifiable
  • Complete data entry tasks associated with provider onboarding, licensing, and credentialing workflows
  • Flag data discrepancies or gaps to the Senior Associate rather than resolving independently
  • Complete assigned data audits to help ensure compliance and data accuracy

Process execution and team support

  • Follow documented SOPs for all recurring workflows 
  • Surface patterns or recurring issues to the Senior Associate and Senior Manager for review
  • Contribute to keeping process documentation current by noting when real-world steps differ from what's documented

Who you are

  • 1–3 years of experience in a support, operations coordination, or customer-facing role. Healthcare experience is a plus but not required
  • Highly organized with strong attention to detail 
  • Strong verbal and written communication skills 
  • Proficiency with Google Workspace or Microsoft Office; comfortable learning new software platforms and working across multiple tools simultaneously
  • Experience with helpdesk and CRM software tools is preferred but not required
  • You stay focused and accurate when workload and volume are high
  • Eager to learn and grow within an ops function that is actively being built

  • Full-time; remote
  • The salary for this position is $50,000
  • This position is non-exempt and eligible for over-time
