Role Overview

We're looking for a highly organized and proactive Executive Assistant to support our senior leadership team. This role sits at the heart of how our executives operate — spanning calendar management, inbox coordination, cross-team communication, and day-to-day operational support for C-suite leadership.

This is a hybrid role based in Toronto, ON, balancing remote flexibility with regular in-office attendance to support meetings, coordination, and team collaboration.

You'll serve as a central point of contact for leadership — keeping executives organized, informed, and focused on what matters most, while ensuring communication flows clearly across the organization.

Key Responsibilities

Executive Support

  • Own complex executive calendars, proactively managing scheduling priorities and resolving conflicts
  • Monitor, organize, and draft responses across executive email inboxes
  • Coordinate meetings, set agendas, and track follow-up actions with internal and external stakeholders
  • Relay information and communications clearly between executives and their teams
  • Prepare briefing materials, meeting summaries, and supporting documents for leadership discussions
  • Assist with travel coordination and logistics as needed

Operational Coordination

  • Track action items and follow-ups arising from executive meetings and conversations
  • Partner with teams to maintain alignment on priorities and upcoming deadlines
  • Handle sensitive and confidential information with professionalism and care
  • Support reporting, documentation, and operational visibility for leadership

Cross-Functional Communication

  • Coordinate with operations, product, and business teams on executive requests and priorities
  • Assist with presentations, internal communications, and leadership updates
  • Help maintain consistent and clear communication across departments

Skills & Qualifications

  • 3+ years of Executive Assistant experience, ideally supporting senior or C-suite leaders
  • Proven ability to manage complex calendars and executive communications in a fast-paced environment
  • Proficiency with Google Workspace, Microsoft Office, and Slack
  • Strong written communication skills and a polished, professional presence
  • High degree of discretion when handling confidential information
  • Excellent organizational, multitasking, and prioritization abilities
  • Comfortable picking up new tools and adapting to evolving systems
  • Calm, proactive, and solution-oriented — especially under pressure

Job Details

  • Job Type: Full-Time
  • Compensation: $45,000 – $70,000 per year
  • Schedule: Monday to Friday | 8-hour shifts | Overtime as required
  • Location: Hybrid — Toronto, ON (recurring in-office attendance required)
