The Role

The Admissions Specialist is the first point of contact for clients seeking eating disorders treatment from Within Health, as well as those seeking program information for their loved ones and providers seeking treatment for their patients. The Admissions Specialist strives to convert inquiry calls to admissions by building a rapport with the individual, family and/or loved ones as well as assessing the level of care needed. The Admissions Specialist manages the administrative elements of the intake process, allowing clients to focus on recovery.

What You'll Do

  • Answers incoming phone calls for eating disorders treatment inquiries and returns calls in a timely manner.
  • Collects identification, referral and insurance information and assesses treatment eligibility based on admissions criteria, clinical presentation and insurance policies.
  • Maintains updated knowledge on programming and demonstrates ability to highlight program features specific to caller’s needs.
  • Manages active leads and opportunities in the database system.
  • Maintains communications with individuals or families, sometimes after typical business hours and on weekends and enters detailed documentation for all calls.
  • Manages referral responsibilities to other treatment programs when appropriate.
  • Responsible for obtaining records from outside professionals (i.e., referring physicians, hospitals, labs, and treatment facilities).
  • Assists with running verification of insurance benefits.
  • Clearly and directly explains insurance coverage and payment options to families and/or providers. Negotiate payment arrangements if needed.
  • Conducts clinical intake assessments with potential clients and their families.
  • Completes bio- psycho-social assessments
  • Works with team in collaboration of medical clearance
  • Assures thorough communication with all relevant referents
  • Interfaces with clinical team to assure relevant clinical information is passed onto the inbound clinical team
  • Communicates with treatment team members to obtain clearance for admission.
  • Ensures that all intake forms are completed and signed upon admission.
  • Collaborates with the treatment team to schedule admissions.
  • Collects initial payments for treatment per the financial agreement.
  • Other duties assigned by the supervisor.

Qualifications

  • Bachelor’s degree in a human services field, communications or marketing is preferred; not required.
  • Minimum of 2 years’ experience in mental/behavioral health program admissions experience required; eating disorders program experience preferred.
  • Experience with insurance terminology and the insurance verification process strongly preferred.
  • Experience working with client tracking systems (i.e., Salesforce CRM).
  • The Admissions Specialist must be responsible, compassionate, empathic and genuine. 
  • Must be detail-oriented and conscientious and demonstrate sound judgment and strong interpersonal skills.

  • Must maintain confidentiality.
  • Must have the ability to work independently.
  • The ability to work as a cohesive team member, to manage calls, documentation and communicate the status of cases in order to assist families and clients.
  • Ability to effectively utilize computers, various software programs and cell phone technologies.

Physical & Environmental Requirements

  • Must have reliable internet connection.
  • Must be comfortable operating a computer and smart-phone and navigate applications within macOS and iOS.
  • Must be comfortable communicating with colleagues via chat, telephone, and video calls.
  • Must be able to sit for the majority of the shift.
  • This is a work-from-home position. Work should be performed in a private, quiet space with minimal background noise.
