About the Role
We are seeking a highly organized and detail-oriented Office Administrator to support day-to-day operations and help maintain a smooth, efficient workplace. This role is ideal for someone who thrives in a fast-paced environment, communicates effectively, and takes pride in keeping processes and administrative functions running seamlessly.
This position is in-person at our Scott’s Addition office 5 days per week from 8am - 5pm.
Responsibilities

Cross-Functional Support
- Partner with HR, leadership, and management teams to support day-to-day operations
- Assist across teams with administrative needs and special projects
- Help improve processes and keep teams aligned and organized
- Keep Office Administrator Core Process documentation up to date
- Work with Accounting to process checks as well as scanning and preparing other finance and accounting-related paperwork
Employee Relations
- Coordinate new hire onboarding, including scheduling, documentation, and equipment/workspace setup
- Facilitate offboarding processes, including equipment return, access removal, and exit documentation
- Maintain accurate employee records and support internal HR processes
- Serve as a point of contact for administrative employee needs
- Build and sustain company morale through birthday and workaversary cards and Slack engagement
IT Support Coordination
- Assist with employee technology setup, including laptops, accounts, and system access
- Coordinate with internal or external IT partners (Apple Business, Mosyle) to resolve technical issues
- Track and manage inventory of office equipment and technology assets
- Support basic troubleshooting and ensure timely resolution of IT-related requests
Event Planning
- Plan and coordinate internal events such as team meetings, trainings, and 2x per year Offsite/Onsite company gathering
- Manage logistics, including scheduling, vendors, catering, and materials
- Support execution of events to ensure a smooth and positive employee experience
Travel & Logistics
- Coordinate employee travel arrangements, including flights, accommodations, and itineraries
- Manage travel documentation and ensure alignment with company policies
- Assist with logistical planning for offsite meetings and team events
Building Management
- Oversee day-to-day office operations and ensure a well-maintained workspace, including, but not limited to, plant care, building access, food and beverage stocking, straightening conference rooms, answering phones
- Coordinate with building management, vendors, and service providers as needed
- Manage office supplies, inventory, and ordering
- Ensure the office environment is comfortable, organized, safe, and fully functional
Business Development Support
- Professionally field prospective client calls, take detailed notes, and share with Business Development team
- Support the business development team with administrative tasks to ensure smooth client onboarding such as:
- Build and ship client welcome boxes and materials
- Set up and organize client folders in Google Drive
- Create and support project setups in Basecamp
Qualifications
- 2+ years of administrative or office support experience
- Based in or within 20 miles of Richmond, VA
- Ability to work onsite 5 days per week.
- Excellent written and verbal communication skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines
- Proficiency with common office tools (e.g., Google Workspace, Microsoft Word, Excel, and Basecamp)
Preferred Qualifications
- Experience supporting HR, Recruiting, or employee onboarding/offboarding processes
- Experience working in a small to mid-sized business environment
- Comfortable handling confidential information with discretion

Salary
Expected base salary range is $55,000 - $65,000 annually, based on experience
