About the Role
As our first Full-Charge Bookkeeper, you’ll own the accuracy, timeliness, and audit-readiness of Propellic’s financial data from transaction coding through month-end close. You’ll collaborate with leadership to keep cash flowing, margins crystal-clear, and compliance airtight—freeing the team to focus on growth. If you love building systems, spotting anomalies before they become problems, and closing the books faster every month, we want to meet you.
Key Responsibilities
- Maintain airtight books – Record, classify, and tag every transaction; attach receipts; and automate recurring entries, with a full weekly sweep completed by Friday 5 PM CT.
- Lead a six-day GAAP-compliant month-end close – Publish a close calendar, reconcile all balance-sheet accounts, post accruals, and deliver draft financials by the 3rd business day, final statements by the 4th, and variance commentary by the 6th.
- Own Accounts Payable – Capture and code vendor bills within two business days, route approvals, schedule payments to balance cash preservation with on-time performance, and keep DPO in the 20-25-day range.
- Steer Accounts Receivable & Collections – Configure client billing in Stripe, run weekly aging reports, execute collection workflows, and keep AR > 60 days under 5 % of total receivables.
- Process Payroll – Calculate commissions/bonuses, prepare payroll for executive approval three business days before pay date, and ensure zero net-pay errors.
What Success Looks Like
- 100 % transaction accuracy each week with receipts, vendors, tags, and GL accounts in place.
- ≤ 1 post-close adjusting entry over $250 per month.
- 98 %+ vendor invoices paid on or before negotiated terms; zero late-fee incidents.
- Reliable cash-flow visibility—forecasts updated in real time as payments post.
- Smooth, error-free payroll with proactive variance explanations to leadership.
Who You Are
- 4+ years full-charge bookkeeping or senior accounting experience (agency or services firm ideal).
- Expert in QuickBooks Online, GAAP, and month-end close best practices.
- Comfortable running AP/AR, payroll, and cash-flow forecasting end-to-end.
- Detail-obsessed yet deadline-driven—your reconciliations balance to the penny, on time.
- Tech-forward: you automate workflows in tools like Zapier, Fyle, Stripe, or similar.
- Strong written communication; you document processes and explain variances with clarity.
- Eligibility to work in the U.S. (for payroll purposes) or ability to contract internationally.
