[About the role]
ProtoPie is a fast-growing SaaS startup that’s revolutionizing how product teams design and prototype user interfaces (UI) and user experiences (UX). Our solution empowers designers, developers, and product managers to quickly create dynamic, interactive, realistic prototypes, iterating seamlessly with their teams. As we scale, we’re looking for a Sales Operations Manager to help optimize our sales processes, enhance efficiency, and support the broader sales organization in achieving its goals while collaborating with cross-functional teams, implementing best practices, and leveraging data-driven insights to drive efficiency and effectiveness across the revenue-generating functions. We seek candidates who can work in the Pacific Standard Time zone (San Francisco Bay Area, CA, US).

As the Sales Operations Manager, you will play a key role in driving the effectiveness and efficiency of our sales team. You will manage sales processes, tools, and data while partnering closely with sales leadership to establish and monitor sales strategies, quotas, and business plans. Your role will be pivotal in ensuring the sales organization has the support, insights, and resources needed to accelerate revenue growth.


[Responsibilities]

  • Salesforce Data Management & Reporting:
    • Maintain and optimize Salesforce CRM, ensuring data accuracy and consistency.
    • Provide regular and ad-hoc reporting on sales performance, pipeline metrics, forecasting, and key performance indicators (KPIs).
    • Build and automate custom dashboards and reports to track sales productivity and effectiveness.
    • Conduct data analysis to identify trends, gaps, and opportunities for improvement across the sales funnel.
  • Quota Setting & Sales Strategy:
    • Collaborate with sales leadership or leadership team to develop sales quotas, and revenue targets for the sales team based on historical data, market trends, and growth objectives.
    • Work with sales leadership to implement sales strategies that align with company goals and drive revenue growth.
    • Regularly assess and adjust quotas and targets as necessary to ensure alignment with market conditions and business needs.
  • Lead Generation & Sales-Marketing Collaboration 
    • Develop and refine lead qualification frameworks in collaboration with marketing and sales leadership.
    • Optimize the marketing-to-sales handoff process to ensure high-quality leads are prioritized for follow-up.
    • Define and track key lead generation KPIs, analyzing conversion trends to improve pipeline efficiency.
    • Provide sales teams with actionable insights on high-performing lead sources and customer acquisition trends.
  • CRM & Sales Tech Stack Management 
    • Manage and optimize ChurnZero implementation, ensuring seamless data flow and process alignment with sales and customer success teams.
    • Develop clear scopes of work and justifications for technology enhancements and process improvements.
  • Sales Process Optimization:
    • Streamline and document sales processes, ensuring alignment between sales stages, CRM usage, and operational workflows.
    • Identify inefficiencies in the sales process and implement improvements to enhance productivity and win rates.
    • Support the onboarding and training new sales team members on tools, processes, and systems.
    • Implement automation workflows to improve lead nurturing and reduce manual data entry in CRM and marketing automation platforms.
    • Develop clear scopes of work and justifications for technology enhancements and process improvements.
    • Facilitate regular feedback loops between sales and marketing teams to refine messaging, outreach strategies, and campaign effectiveness.
    • Work with marketing on account-based marketing (ABM) initiatives, ensuring strategic target accounts receive personalized outreach.
  • Sales Forecasting & Business Plans:
    • Lead the sales forecasting process by providing insights into pipeline health, sales velocity, and conversion rates.
    • Work with sales leadership to develop accurate, timely, and actionable business plans, including strategies for achieving sales targets.
    • Monitor progress towards goals and adjust forecasts and strategies as needed.
  • Cross-functional Collaboration:
    • Partner with marketing, product, and customer success teams to ensure alignment on sales initiatives, messaging, and customer feedback loops.
    • Provide sales teams with competitive insights, market intelligence, and tools to improve sales effectiveness.
    • Act as the liaison between the sales department and other operational teams to ensure seamless execution of business plans.
  • Global Sales Enablement:
    • Assist in creating and maintaining sales enablement materials, including pitch decks, proposal templates, and case studies.
    • Develop and implement tools and resources to help the sales team increase conversion rates and improve the customer buying experience.


[Qualifications]

Must

  •  5+ years of experience in Sales Operations, Sales Strategy, or similar roles within a SaaS environment (experience in a startup preferred).
  • Bachelor’s degree in Business, Marketing, Sales, or a related field.
  • Experience aligning lead generation strategies between sales and marketing to improve MQL to SQL conversion rates.
  • Strong understanding of lead scoring models and how they influence pipeline management and prioritization.
  • Proven ability to manage cross-functional projects, including CRM optimizations, process automation, and tool integrations.
  • Strong communication skills to present data-driven recommendations to executive leadership and cross-functional teams.
  • Proficiency with Salesforce CRM, including reporting, dashboards, and data management.
  • Strong analytical skills with the ability to leverage data to drive decisions and optimize sales processes.
  • Financial skills and business acumen to understand sales profitability and opportunities.
  • Demonstrated experience in quota setting, sales forecasting, and building sales plans.
  • Solid understanding of sales strategies, pipeline management, and sales methodologies.
  • Excellent communication and interpersonal skills with a collaborative, team-oriented mindset.
  • Ability to thrive in a fast-paced, dynamic startup environment.

Plus

  • Experience with other sales tools such as HubSpot, ZoomInfo, or CommonRoom.
  • Familiarity with the UI/UX design or prototyping tools industry is a plus.
  • Experience with business intelligence (BI) tools.
  • Able to work across APAC and EMEA time zones as needed.
  • Ability to travel if needed

[Working Arrangements]

  • 10 AM to 7 PM PST recommended
  • Full-time position (during the first 3 months—the probation period, the employee will receive 100% of their salary).
