Medical Records Coordinator

Position Overview

Comprehensive Prosthetics & Orthotics (CPO) is hiring two Medical Records Coordinators to help obtain and organize the medical documentation needed for patients to receive prosthetic and orthotic care.

This position focuses on communicating with physician offices, referral sources, and patients to collect missing records and supporting paperwork. You will make frequent outbound calls, follow up on outstanding requests, review incoming documents, and keep accurate records of each request’s progress.

We are looking for dependable, organized individuals who are comfortable on the phone and can follow requests through to completion. Customer service, call center, patient services, or medical office experience is helpful, but healthcare experience is not required. Training on CPO’s systems and documentation procedures will be provided. This role has no sales responsibilities.

Primary Responsibilities

  • Contact physician offices, referral sources, and patients by phone to request missing or incomplete medical records and supporting documentation.
  • Clearly explain which documents are needed and respond to questions professionally.
  • Follow up consistently on outstanding requests and document calls, responses, and next steps.
  • Review incoming records for completeness and request corrections or additional information when necessary.
  • Accurately enter and update patient information and documentation status in company systems.
  • Organize pending requests and prioritize follow-up to support timely completion.
  • Communicate outstanding documentation needs to the appropriate team members.
  • Protect patient confidentiality and follow company procedures for handling sensitive information.
  • Meet established expectations for productivity, accuracy, and professional communication.

Qualifications

Required:

  • High school diploma or equivalent.
  • Clear verbal and written communication skills and a professional telephone manner.
  • Comfort making frequent outbound calls and following up on unresolved requests.
  • Strong organizational skills and attention to detail.
  • Basic computer and accurate data entry skills.
  • Ability to manage multiple tasks and work both independently and collaboratively.
  • Ability to work full time, in person at our Willowbrook office.

Preferred:

  • Experience in customer service, a call center, patient services, healthcare administration, or a medical office.
  • Experience communicating with physician offices or requesting, reviewing, or maintaining medical records.

Compensation and Training

  • Starting pay: $18.00 per hour.
  • 90-day increase: $19.00 per hour following successful completion of training and satisfactory performance.
  • Training on CPO’s systems, documentation requirements, and follow-up procedures.
