Position Summary

Manage event strategy, planning, and execution end-to-end, from the annual event calendar through post-event follow-up. Partner closely with sales and marketing teams, and support the VP, Vendor Partnerships on events involving CXponent’s vendor and partner ecosystem (IT Infrastructure, telecom, cloud, CX, cybersecurity, and managed services partners), to make sure every every earns it's place on the calendar and it's line in the budget.

Key Responsibilities & Deliverables

General Management

  • Annual Event Strategy & Calendar: Collaborate with Sales in the field to build and maintain CXponent’s annual event plan and calendar, prioritized against revenue, marketing, and local market objectives.
  • Budget Management: Manage individual event budgets from forecasting through reconciliation, keeping every event on track and on-budget.
  • Speaker & Content Coordination: Recruit and prep speakers, and shape agendas that reinforce CXponent’s positioning.
  • Event Reporting: Track attendance, cost, and lead data for every event, and provide clean, timely inputs to the VP, Vendor Partnerships for program-level ROI reporting.
  • Continuous Improvement: Run post-event retros and use the results to sharpen the playbook every quarter.
  • 3rd Party Management: In tandem with the execution responsibilities, we expect to lean on Event Management firms and consultants to assist with scaling this function.

Execution

  • Venue & Logistics Vendor Contracts: Source venues and negotiate contracts with caterers, AV, and production vendors.
  • Registration & Attendee Logistics: Coordinate registration, attendee communications, client swag or benefits, and pre-event logistics using CXponent’s existing platforms and tools.
  • Marketing Campaign Coordination: Partner with demand gen and content teams to build pre- and post-event marketing campaigns.
  • Sales Enablement: Equip sales with target account lists, talk tracks, and follow-up playbooks ahead of every event.
  • Onsite Execution: Run flawless onsite experiences — from intimate executive dinners to large-scale conferences.
  • Lead Management & Follow-Up: Own the handoff of leads into CRM and marketing automation, and track follow-up accountability with sales.

Field Marketing & GTM Alignment

  • Regional & Account-Based Support: Help shape regional event plans that map to territory plans and target account lists.
  • Sales-Aligned Prioritization: Work with sales leadership to help decide which events are worth the investment.
  • Pipeline-Driving Campaigns: Build campaigns where the event is the centerpiece of a pipeline-generation motion, not a standalone activity.
  • Full-Funnel Promotion: Own pre-event awareness campaigns and post-event nurture so momentum doesn’t die when the lights go down.
  • Measurable Objectives, Always: Every event ships with a defined business goal and a way to track whether it hit it.

Ideal Experience and Qualifications

  • Professional Experience: 4–7 years in B2B event or field marketing, with a proven track record of executing events that meet strict pipeline expectations and sales objectives.
  • Technical Proficiency: Familiarity with CRM, marketing automation, and event registration platforms to manage attendee logistics and data flow.
  • Project & Program Management Rigor: Proven ability to manage multiple concurrent events without dropping details. Impeccable organization skills, including detailed checklists (venue, speakers, registration, logistics), strict adherence to deadlines, and early risk identification.
  • Sales & Cross-Functional Influence: Demonstrated track record of building genuine partnerships with sales reps and leadership. Ability to align sales and marketing teams around event priorities and drive event outcomes without relying on formal authority.
  • Financial & Budget Acumen: Strong proficiency in forecasting, tracking, and reconciling event budgets. Capability to catch variances early, adjust scope proactively, and articulate budget trade-offs clearly to executive leadership and finance.
  • Data-Driven & ROI-Oriented Mindset: Skilled in defining measurable performance goals before every event, tracking lead quality and pipeline impact, and synthesizing raw data into executive ROI reporting.
  • Vendor & Negotiation Skills: Hands-on experience sourcing venues, negotiating favorable terms with caterers and AV/production vendors, and holding outside event agencies/consultants to high standards.
  • Communication & Executive Presence: Exceptional written and verbal communication skills; experienced in prepping speakers/executives and representing the brand professionally at premium, executive-facing, and vendor-partner ecosystem events.
  • Ownership, Adaptability & Travel: High accountability and adaptability. Willingness to travel 25–40% for on-site execution of major events while managing smaller events remotely and driving continuous process improvements.
