Remote After-Hours Front Desk Coordinator
Job Description
POSITION SUMMARY:
Provides remote after-hours administrative support to providers and office operations, including answering incoming calls, triaging and documenting messages, scheduling appointments, and assisting patients with general inquiries. Responsible for maintaining accurate data entry, conducting patient account follow-up, and assisting with reports as needed.
DUTIES AND RESPONSIBILTIES
· Answer and screen high-volume incoming calls in a courteous and professional manner during after-hours operations, documenting and relaying messages to providers and appropriate personnel.
· Schedule patient appointments and procedures according to established policies and procedures.
· Assist patients remotely with appointment coordination, registration updates, and general inquiries.
· Obtain and verify accurate patient demographic and insurance information while ensuring required documentation is complete.
· Verify patient account balances, review refunds for accuracy, and communicate outstanding balances to patients as needed.
· Maintain and update patient records within the EMR system, including scanning and attaching documentation electronically.
· Prepare and review patient charts electronically in advance of appointments as needed.
· Create, transcribe, and distribute letters, forms, and other documentation as requested.
· Maintain confidentiality of patient information in accordance with HIPAA guidelines.
· Ensure accuracy and efficiency in all remote front desk operations and administrative tasks.
· Perform additional remote administrative duties and responsibilities as assigned.
QUALIFICATIONS/ REQUIREMENTS
· High school diploma or GED.
· Minimum of 2 years of experience in a medical office, front office or scheduling experience.
Work Schedule & Availability:
This position provides remote after-hours support with shifts available during the following timeframes:
· Monday – Friday: 5:00 PM – 12:00 AM
· Saturday: 8:00 AM – 5:00 PM
· Sunday: 8:00 AM – 5:00PM
Candidates must be available to work a minimum of 18 hours per week. Schedules may vary based on operational needs and coverage.
REQUIREMENTS FOR LEVEL I STATUS:
· Entry level (1-4 years’ experience) and/or meet the basic requirements of the job with the need for additional supervision
· Excess of 4 years’ experience if meeting only the basic requirements of the job with need for additional supervision
PERFORMANCE REQUIREMENTS
· Knowledge of clinic policies, procedures, and remote front desk workflows.
· Knowledge of computer programs, EMR systems, and remote communication platforms.
· Knowledge of basic arithmetic to perform calculations, reconcile balances, and process information accurately.
· Preferred: Bilingual proficiency in English and Spanish
· Skill in operating remote office technology and computer equipment.
· Skill in maintaining accurate electronic records and documentation.
· Skill in handling high-volume incoming phone calls and triaging appropriately in a remote setting.
· Strong written and verbal communication skills.
· Ability to learn and utilize various computer programs including Microsoft® Excel, e-mail, Internet applications, and Microsoft PowerPoint.
· Ability to accurately organize, review, and maintain electronic files and records.
· Ability to adapt and respond effectively to changing demands in a remote work environment.
· Ability to organize, prioritize, and manage multiple tasks independently and efficiently.
