Development Coordinator

South Puget Sound Habitat for Humanity is an affiliate of Habitat for Humanity International focused on providing affordable housing solutions in Thurston and Lewis counties. We believe that every person, no matter who they are, deserves a decent place to live. Our work includes building new, energy-efficient homes, preparing households for homeownership, guaranteeing affordable mortgages to homebuyers, performing critical housing repairs, and running two successful resale stores. It is an exciting time at South Puget Sound Habitat as our immediate goals for the future include three new developments and hundreds of repair projects, drastically outpacing our past production—and we are working to scale our operations to meet these goals.  

 

POSITION SUMMARY


The development coordinator manages key annual fund activities and fundraising events and maintains the donor database to support accurate recordkeeping, reporting, and effective fundraising. The coordinator also supports donor cultivation and other activities that increase community awareness and build resources for South Puget Sound Habitat.

RESPONSIBILITIES


Key Responsibility: Annual Fund and Events (55%)

The development coordinator supports the annual fund in partnership with the senior director of advancement and individual giving manager, including appeals, events, sponsorships, donor stewardship, and other fundraising activities. The coordinator also manages timelines, logistics, and operational needs for fundraising, stewardship, and community events. Responsibilities generally include:

  • Coordinate annual fund activities, including mailings, events, donor lists, and other requests for support.
  • Build relationships with donors and cultivate support through timely acknowledgements, stewardship activities, and prospect research.
  • Provide project and timeline management for assigned fundraising, stewardship, and community events.
  • Coordinate event logistics, agendas, attendance tracking, vendors, materials, hospitality, supplies, and other operational needs.
  • Support the planning and execution of key events, including Women Build, Habitat Gala, Pride Build, Veterans Build, and other events.
  • Coordinate logistics for outreach efforts, external meetings, and presentations.
  • Manage in-kind donation inquiries and related gift coordination.


Key Responsibility: Donor Database and Data Management (30%)

The development coordinator maintains accurate and timely donor and fundraising information and uses the CRM to support fundraising, stewardship, reporting, and organizational decision-making. Responsibilities generally include:

  • Maintain accurate and up-to-date donor records in the CRM, including donor contact information, interactions, and other relevant activity.
  • Process and acknowledge donor gifts promptly and ensure gifts are recorded accurately in the CRM.
  • Run reports and prepare year-end tax reporting documents.
  • Assist with regular fundraising reporting and ensure accurate information sharing across departments.
  • Support donor lists, segmentation, reporting, and other data needs for appeals, events, stewardship, and communications.

 

Key Responsibility: Advancement Administrative Support (10%)

As a member of the advancement team, the development coordinator coordinates meeting logistics, inventory, and monthly and annual reporting. Responsibilities generally include:

  • Provide administrative support for the senior director of advancement and individual giving manager.
  • Manage the advancement team meeting and schedules, including notetaking.
  • Report to the team on fundraising metrics, challenges, and successes.
  • Create and sustain strong working partnerships with other members of the team and contribute to the culture of teamwork and collaboration.


Key Responsibility: Leadership, Teamwork, and Inclusivity (5%)

REQUIREMENTS


Education and Experience

  • Demonstrated experience using donor databases or CRM systems for recordkeeping, reporting, and fundraising support
  • Minimum of three years of fundraising, sales, or administrative management experience
  • Bachelor’s degree preferred

Required Knowledge, Skills, and Abilities

  • Strong attention to detail and ability to maintain accurate, timely, and consistent donor and fundraising records
  • Excellent organizational skills, with the ability to prioritize competing tasks and meet both scheduled and unexpected deadlines
  • Excellent writing, proofreading, and formatting skills
  • Ability to build and maintain strong relationships with donors, community partners, vendors, and colleagues, and to work collaboratively with a variety of people
  • Proficient with basic math; ability to accurately interpret data and formulas
  • Strong proficiency with Microsoft Office products and ability to learn, use, and train others on new technology and systems
  • Proven ability to handle sensitive and confidential information with discretion
  • Ability to pass a background and reference check

Preferred Knowledge, Skills, Abilities

  • Demonstrated knowledge of fundraising principles
  • Experience fundraising in a nonprofit or corporate setting
  • Experience with donor stewardship, annual giving, or fundraising communications
  • Familiarity with CRM transitions, build outs, and workflow development
  • Ability to translate data and information into clear, engaging, and visually appealing reports and presentations
  • Understanding of, or experience with, project management principles and tools

DETAILS


  • Reports to: Individual Giving Manager
  • Supervises: None
  • Hours: 40 hours per week. Typical business hours with some flexibility for preferred schedules.
  • Compensation: Hourly. Position range: $22.07-$30.78 (equivalent of $45,906-$64,022 annually); hire range: $ 22.07-$24.24 (equivalent of $45,906-$50,419 annually).
  • FLSA Status: This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA); it earns overtime for additional time worked.
  • Benefits: 26 vacation/sick/personal days initially, increasing over time; 13 holidays; 85% employer-paid health, 50% employer-paid dental, 100% employer-paid vision; Simple IRA with 3% match.
  • Environment: This position will be based in our office located at 910 5th Ave SE in Olympia. It can be reached by car or public transit. The building is accessible. This position will have a desk, computer, and phone line in a designated workspace. Some off-site, local travel is required. Limited regular remote work is acceptable. 
  • Conditions: This position will be regularly required to use a computer keyboard and screen, communicate with others, reach with arms and hands to file and use a phone, and sit for extended periods.
  • Training: This successful candidate will be onboarded and initially trained through a combination of in-person, online, and written trainings; they are expected to take the initiative to review materials as needed and seek understanding of new developments in order to perform their responsibilities.
