About the role

The Experience Team Intern will support the planning, preparation, and execution of internal and external experiences by providing administrative, organizational, and logistical assistance to the Experience Team. This role is ideal for a detail-oriented, proactive individual who enjoys organization, creative projects, and behind-the-scenes event coordination.

This is an in-office internship and does not include travel to off-site experiences. The intern will play a critical role in ensuring every experience is well-prepared before the team arrives on site.


What you'll do

Experience Planning & Coordination

  • Assist the Experience Team in planning and coordinating a variety of experiences, including:
    • Leadership intensives
    • Office visits
    • Client dinners
    • Team member celebrations
    • Social gatherings
    • Community events
  • Support venue research and vendor outreach.
  • Assist with gathering quotes, availability, and event details.
  • Help prepare event timelines, checklists, and planning documents.

Event Logistics & Preparation

  • Assemble gift bags, welcome bags, and swag packages for experiences.
  • Organize, inventory, and prepare event materials for shipment or transport.
  • Create and maintain packing lists and inventory spreadsheets.
  • Assist with catering coordination for in-office events and leadership visits.
  • Prepare meeting rooms and event spaces for internal experiences.

Administrative Support

  • Maintain organized spreadsheets and planning documents.
  • Assist with data entry and event tracking.
  • Organize office inventory and experience supplies.
  • Manage incoming mail and package organization.
  • Keep storage areas and event materials organized and labeled.
  • Assist with miscellaneous administrative tasks that support the Experience Team.

Team Support

  • Collaborate with Experience Planners on special projects.
  • Help ensure deadlines are met by preparing materials in advance.
  • Contribute ideas to enhance guest and team experiences.
  • Support a positive, organized, and service-focused team environment.


Qualifications

  • Currently pursuing a degree in Event Management, Hospitality, Marketing, Business, Communications, or a related field.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable using Microsoft Office (Excel, Word, PowerPoint) and/or Google Workspace.
  • Ability to manage multiple priorities and meet deadlines.
  • Positive attitude with a willingness to learn.
  • Self-motivated and dependable.
  • Ability to lift and move event materials (up to 30 lbs. occasionally).
