Human Resources (HR) Administrator

As a Human Resources (HR) Administrator, you will provide day-to-day support to the HR function, ensuring smooth handling of employee documentation, compliance with Polish labour law, and efficient HR operations.

This role is critical for HR processes, ensuring compliance in operating under Poland’s structured employment regulations.


What You’ll Do: 


HR Administration & Documentation

  • Prepare and manage employee contracts (umowa o pracę, umowa zlecenie), maintain accurate and confidential HR system records, and handle all onboarding/offboarding documentation, including issuing employment certificates and HR letters.
  • Coordinate the full onboarding process for new hires and support offboarding procedures, ensuring all required documents and HR actions are completed accurately and on time.

Payroll & Benefits Support

  • Collect and verify payroll data (absences, overtime, bonuses), liaise with payroll providers and internal payroll teams, administer employee benefits (private healthcare, Multisport, etc.), and support PPK administration.
  • Handle HR correspondence, prepare reports, and assist with various HR projects and ongoing operational needs.

Compliance & Labor Law

  • Ensure HR processes comply with Polish labor law (Kodeks pracy)
  • Monitor contract expiration dates and probation periods
  • Track employee leave (holiday, sick leave, maternity/paternity)

Employee Support

  • Act as a point of contact for employees, answering HR-related queries and directing them to the appropriate resources
  • Support performance review cycles and training coordination

HR Systems & Reporting

  • Update HRIS systems with employee data
  • Generate HR reports (headcount, turnover, absences)

Support Administrative tasks for the leadership team

  • Calendar & Schedule Management: Coordinate and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
  • Office Management: Oversee general office operations, including supply ordering, vendor relations, and facility coordination.

What You Bring:

  • Bachelor’s degree in HR, Business Administration, or a related field
  • 1–3 years of experience in HR administration or a similar role; progressive experience in Human Resources with exposure to business-facing HR, HR Operations strongly preferred
  • Fluency in Polish and English, German is nice to have
  • Experience working with Polish employment contracts is highly valued
  • Solid knowledge of Polish labour law (Kodeks pracy)
  • Strong organizational and administrative skills with exceptional attention to detail and accuracy
  • Fluency in both Polish and English
  • Familiarity with HR systems and digital HR tools
  • Excellent analytical and problem‑solving abilities, including identifying root causes, evaluating options, and recommending sustainable improvements
  • Strong collaboration skills with the ability to build effective cross‑functional partnerships and drive results through teamwork

Compensation:  

Pay for this role is competitive and based on experience, with qualifications and performance taken into account.

This role is with a hybrid work model. While non-local candidates may apply, relocation and housing assistance are not provided, and candidates are responsible for all related expenses.

Final compensation is determined on a case-by-case basis and considers factors such as experience level, skill set, and market conditions.
