We’re looking for a Client Service Representative / Veterinary Assistant to join our supportive, energetic team in Fremont. This hybrid role combines welcoming clients and coordinating appointments with hands-on support for patient care. You’ll help create a smooth experience for pets and their families, from their first phone call through to discharge.

What You Can Expect at Irvington

  • A consistent five-day schedule, with eight-hour shifts scheduled Monday through Thursday and Saturday, within hospital hours of 8 a.m.–5 p.m.
  • A varied role across reception and patient care, supporting the front desk and clinical team according to daily hospital needs.
  • Meaningful client relationships, helping families feel welcomed, informed, and supported throughout their visit.
  • An engaging clinical environment, supporting routine appointments alongside urgent and complex cases.
  • A collaborative team, working alongside two veterinarians, one RVT, five Veterinary Assistants, and one Client Service Representative.

Your Role

Working closely with our veterinarians and hospital team, you will:

Client Service and Reception

  • Welcome clients and their pets, manage check-in and check-out, and help visits run smoothly.
  • Answer calls, respond to enquiries, schedule appointments, and relay messages accurately.
  • Gather client and patient information and maintain accurate records.
  • Process payments and support clear communication about invoices and next steps.
  • Respond calmly and empathetically to client concerns, involving the appropriate team member when needed.
  • Recognize potentially urgent concerns and promptly alert the clinical team.
  • Share updates and explain veterinarian-approved care and discharge instructions.

Veterinary Assistance

  • Room patients, obtain medical histories, and prepare exam rooms for appointments.
  • Assist veterinarians and RVTs during examinations and treatments, using safe, compassionate patient handling.
  • Support routine patient care and prescribed treatments under veterinary direction.
  • Assist with sample collection, laboratory testing, and blood draws according to your training and experience.
  • Document patient care accurately and communicate relevant observations to the clinical team.
  • Keep exam rooms and treatment areas clean, organized, and well-stocked.
  • Coordinate with colleagues as you move between reception and clinical duties, ensuring clear handovers and consistent service.

The Right Fit:

  • Previous experience in veterinary reception, veterinary assistance, or a combined role preferred.
  • Strong customer service skills and a warm, confident approach to client communication.
  • Practical patient handling experience valued, with a willingness to develop your clinical skills.
  • The ability to respond calmly and constructively to challenging client situations.
  • Strong organization, attention to detail, and confidence managing appointments, messages, and records.
  • Flexibility to move between front-desk and patient care responsibilities as hospital needs change.
  • A dependable, collaborative approach and enthusiasm for learning.
  • Availability to work Monday through Thursday and Saturday.
