Fleet Operations Coordinator

Position Summary:

The Robot Operations team is seeking a Fleet Operations Coordinator to support the day-to-day planning, utilization, and coordination of our robotic systems and operator team. This role focuses on ensuring that the local robot fleet and operators are used effectively across internal testing and external deployment environments, while supporting the data collection needs of engineering and product teams.

The Fleet Operations Coordinator works closely with software, hardware, product, and operations teams to translate requirements into clear operational plans. This is a hands-on, execution-focused role with meaningful ownership and visibility. As the company grows, this position offers the opportunity to take on increased responsibility and help shape how robotics operations scale over time.

Core Responsibilities:

  • Coordinate the daily utilization and scheduling of a prototype robot fleet and operator workforce across onsite and offsite locations
  • Partner with software, hardware, and product teams to capture requirements and translate them into clear, actionable data collection instructions for operators
  • Track and report trends related to robot utilization, operational performance, issues, and work status updates
  • Design, maintain, and improve metrics related to robot fleet usage, operator throughput, and operational efficiency
  • Continuously improve robot fleet and operator utilization by identifying inefficiencies, proposing solutions, and validating improvements using data
  • Develop and maintain an understanding of robot operation and operator workflows to support informed planning and prioritization
  • Maintain operational schedules, trackers, dashboards, and documentation to support day-to-day execution
  • Escalate risks, blockers, and operational issues to appropriate stakeholders in a timely manner
  • Translate approved collection briefs and operational priorities into day-to-day operator assignments, schedules, and execution plans
  • Own progress tracking and execution follow-through for assigned work, ensuring tasks are completed, logged, and handed off cleanly
  • Maintain the currency, clarity, and operational usability of SOPs, runbooks, and work instructions used for scheduled work
  • Identify when documentation is stale, unclear, contradictory, or missing, and coordinate updates needed to support clean execution
  • Partner with the Data Collection Operations Lead when changing technical requirements, quality issues, or repeated misses require substantive changes to workflows or SOPs
  • Surface schedule conflicts, staffing constraints, fleet availability issues, and execution risks early, with clear recommendations for resolution

Required Qualifications:

  • Strong organizational and coordination skills, with the ability to manage multiple priorities in a dynamic environment
  • Experience working cross-functionally with technical and non-technical teams
  • Ability to analyze operational data, identify trends, and communicate insights clearly
  • Strong written and verbal communication skills
  • Comfort working in environments with evolving processes and ambiguity

Preferred Qualifications:

  • Demonstrable, applied use of AI tools to improve workflows, analysis, or operational efficiency
  • Experience in operations coordination, logistics, program support, or technical operations
  • Familiarity with robotics, hardware systems, field operations, or data collection environments
  • Experience building or maintaining operational metrics, dashboards, or reporting tools
