The best guests on our podcasts become the best speakers at our virtual events. The best virtual event speakers become the most sought-after voices at our invite-only live retreats. That pipeline isn't an accident — it's a strategy. And this role sits at the center of it.


We’re looking for an Experiential Marketing Coordinator to own two interconnected functions:

  1. sourcing and booking podcast guests across Workweek's B2B media brands
  2. and marketing the virtual and live experiences those guests eventually anchor.


You'll work closely with the Director of Experiential Marketing and the A/V team to ensure we're building a consistent talent pipeline — surfacing emerging voices, tracking relationships over time, and converting podcast momentum into event attendance and real-world connection.


You’ll also develop and execute event marketing campaigns that drive event registration.


This role is perfect for someone who loves the tactical side of event marketing – from crafting the perfect invitation email to hosting tech checks to analyzing what's working. You'll work cross-functionally with the sales, production, and content teams to ensure every event delivers value for both attendees and sponsors.


Note: All Workweek employees may work remotely, all work must be done in English, and availability to meet during the Central Time Zone workday is required.

What you'll do

Virtual Event Marketing & Delivery

  • Own the full marketing lifecycle for virtual events from promotion through post-event follow-up
  • Manage event registration tracking, monitor pacing, and proactively escalate issues to key stakeholders
  • Host and coordinate tech checks and prep calls with speakers and hosts
  • Serve as the behind-the-scenes host for virtual events on Zoom, ensuring smooth execution and strong attendee experience
  • Develop and execute multi-channel promotional campaigns (email, social, newsletter placements) to drive registrations
  • Create post-event communications and engagement strategies to maximize value from virtual programming

Custom Live Event Marketing

  • Develop targeted marketing strategies and assets (invitation copy, social content, email sequences) to drive registration and attendance for sponsored experiences
  • Conduct audience research to assess the marketing feasibility of sponsor ICP (Ideal Customer Profile) goals
  • Build and manage custom attendee lists that align with both sponsor objectives and optimal event experience
  • Create marketing materials that support sponsor engagement before, during, and after events
  • Track performance metrics and optimize campaigns based on registration and attendance data

Podcast Guest Sourcing & Booking

  • Research and source podcast guest candidates across Workweek's brands (IHIH, Hospitalogy, Fintech Takes, GTM, TMM, and more)
  • Reach out to and book guests in coordination with each brand's Creator and the A/V team
  • Manage end-to-end logistics: outreach, scheduling, prep calls, confirmation, and follow-up
  • Maintain a living talent database to track guest relationships, booking status, and post-episode performance
  • Identify breakout guests with event potential and flag them proactively to the Events team

Cross-Functional Collaboration & Support

  • Support additional experiential marketing projects and initiatives as the events business scales
  • Contribute ideas for improving processes, increasing efficiency, and enhancing attendee experience
  • Maintain organized systems for tracking event performance, attendee data, and campaign results

Qualifications

  • 1-3 years of event marketing experience, B2B-specific experience a plus
  • Understanding of event positioning, with experience in both live and virtual events
  • Excellent written communication — you can write an outreach email that actually gets a response
  • Deeply organized; able to juggle multiple projects, brands, and timelines without dropping balls
  • Passionate about creating remarkable attendee experiences
  • Self-starter who holds themselves accountable without constant oversight
  • A team player: Willing to get your hands dirty and wear multiple hats to help build out a rapidly growing organization
