Job Summary

AI2IO is seeking a Product Adoption & Training Lead to establish and lead how users learn, adopt, and succeed with new applications and features. As our first dedicated hire in this discipline, you will build the operating model, standards, seminars, training-video strategy, documentation practices, release-readiness approach, and adoption measures that future team members will follow.

This is a senior individual contributor role with substantial cross-functional authority and no formal people-management responsibility. You will work closely with the Customer Success Manager, Product Owners, software engineering teams, support partners, and affiliate stakeholders. The strongest candidate combines program-building experience with excellent live facilitation, rapid product learning, evidence-based judgment, and the ability to turn complex product behavior into scalable adoption experiences.


Essential Functions

This role combines hands-on authority for high-impact training and release readiness with organization-wide ownership of the systems, standards, partnerships, and strategy that make product adoption scalable.

Build the Product Adoption & Training Discipline

  • Own the product adoption and training discipline across ai2io applications and features, including its operating model, priorities, standards, intake practices, delivery channels, governance, and measures of effectiveness.
  • Build the organization's first formal product adoption and training program, establishing repeatable practices for seminars, live training, training videos, documentation, onboarding, office hours, role-based learning, and release communications.
  • Create and maintain a cross-product adoption roadmap aligned with release timing, business priorities, user needs, Customer Success priorities, and engineering capacity.
  • Define when self-service content, recorded training, instructor-led sessions, large events, reinforcement activities, or role-specific learning paths are the appropriate adoption approach.
  • Identify major adoption gaps and proactively launch initiatives that improve readiness, understanding, sustained use, and the user experience across the wider ecosystem.

Lead Release Readiness and UAT

  • Own the enablement contribution to user acceptance testing and release readiness, defining standards for workflow clarity, terminology, learnability, documentation accuracy, training readiness, onboarding, and representative user scenarios.
  • Partner with Product Owners, Customer Success, software engineering, and representative users to plan and execute enablement-focused UAT for significant releases.
  • Distinguish usability, learnability, documentation, and adoption findings from functional defects; document evidence and route each issue to the appropriate product or engineering owner.
  • Make clear recommendations to proceed, proceed with documented enablement gaps, or delay user-facing rollout activities when training or adoption readiness is materially incomplete.
  • Turn validated UAT observations into updated documentation, revised seminars and videos, clearer onboarding, and product-feedback recommendations before broad release.

Set the Training and Content Standard

  • Set quality standards for seminars, instructor-led training, demonstrations, training videos, user guides, FAQs, troubleshooting content, quick references, and knowledge-base experiences.
  • Design and personally deliver high-impact training for audiences ranging from small teams to events of 100 or more, including Microsoft Teams town halls, webinars, and comparable virtual formats.
  • Adapt confidently during live training when participant questions reveal a different workflow, product, or root cause than expected; preserve session value while identifying items that require expert follow-up.
  • Rapidly learn unfamiliar applications, Microsoft 365 capabilities, AEC workflows, and new features through hands-on exploration, reliable research, and collaboration with subject-matter experts.
  • Ensure organization-specific nuances for SharePoint, Teams, Outlook, Excel, Microsoft 365 Groups, Revit, and internal applications are captured where generic vendor guidance is insufficient.
  • Create or review flagship training videos and materials that establish the expected instructional, accessibility, presentation, and production bar.

Partner Across the Product Portfolio

  • Serve as the primary product adoption and training partner to the Customer Success Manager, Director, Software Engineering, Product Owners, engineers, support partners, and affiliate stakeholders.
  • Maintain visibility into upcoming applications, features, releases, audience impacts, enablement dependencies, content coverage, and unresolved adoption risks across the portfolio.
  • Represent the user-learning perspective early in product design and release discussions so learnability, terminology, workflow clarity, and onboarding are addressed before launch.
  • Coordinate priorities and resolve conflicts across concurrent product workstreams, bringing leadership clear options, tradeoffs, and recommendations rather than status alone.
  • Mentor Product Adoption & Training Specialists and other contributors through standards, examples, review, facilitation coaching, and progressively delegated ownership without assuming formal people-management authority.
  • Define practical adoption and enablement measures using attendance, engagement, completion, content usage, search behavior, freshness and coverage, support themes, UAT findings, stakeholder feedback, and observed product use where available.
  • Use evidence to assess whether training and documentation are improving user understanding and product adoption, then adjust content, delivery methods, reinforcement, or release practices.
  • Establish a regular review cadence for program health, portfolio readiness, content lifecycle, user feedback, and improvement priorities.
  • Use AI-assisted workflows to improve research, drafting, editing, restructuring, and quality checks while defining disciplined standards for source validation, confidentiality, technical accuracy, accessibility, and human review.

Scale Adoption Across the Ecosystem

  • Lead adoption of new training systems, learning platforms, event formats, documentation methods, measurement practices, and product-enablement methodologies across ai2io and the wider ecosystem.
  • Evolve the adoption operating model as product volume, audience diversity, affiliate participation, and client-facing needs grow, ensuring the program scales without losing quality or responsiveness.
  • Own quality, findability, accessibility, consistency, and lifecycle governance across the complete enablement library, resolving conflicting guidance, duplicate content, stale assets, broken pathways, and structural gaps.
  • Establish role-based learning paths and reusable curricula that support onboarding, feature adoption, advanced capability development, and repeatable large-scale training.
  • Lead major multi-product or ecosystem-wide launch and adoption programs from readiness planning through UAT participation, communications, seminars, videos, documentation, reinforcement, and outcome review.
  • Advise engineering, product, Customer Success, and leadership on adoption strategy, user readiness, rollout sequencing, audience risk, and the organizational implications of product decisions.
  • Build a durable discipline that can support Product Adoption & Training Specialists I, II, III, and IV through clear role boundaries, reusable standards, delegated ownership, mentoring, and visible progression expectations.
  • Develop other contributors' ability to learn products rapidly, facilitate dynamically, create effective training, participate in enablement-focused UAT, and make evidence-based adoption recommendations.
  • Represent AI2IO's product adoption approach in executive, affiliate, client, and partner discussions when senior program authority or facilitation is required.
  • Contribute to future staffing, capability planning, tooling selection, and investment priorities for product adoption and training.

Advance the Discipline

  • Identify and lead implementation of new approaches that materially improve learning scalability, release readiness, content production, audience engagement, adoption visibility, or user self-service.
  • Evaluate build-versus-buy options for learning platforms, knowledge systems, video tools, event capabilities, analytics, and AI-assisted content workflows, documenting tradeoffs and recommendations.
  • Create a forward-looking roadmap for the discipline, anticipating new products, audience segments, delivery channels, and organizational needs.
  • Use program evidence and stakeholder insight to influence product priorities and identify recurring usability, onboarding, or workflow issues that warrant broader solution changes.
  • Demonstrate sustained ownership of the adoption discipline, measurable organizational leverage, and the ability to lead major cross-functional programs with limited oversight.
  • Develop a succession and delegation model that keeps routine execution with appropriate specialists while preserving focus on strategy, standards, organizational risks, and high-impact initiatives.
  • Expand impact through enterprise-wide adoption strategy, broader organizational direction, and cross-functional leadership consistent with future director-level scope if the organization creates that path.

Position Requirements

  • Demonstrated experience building or materially transforming a training, product adoption, customer education, or enterprise enablement program.
  • Experience creating and governing seminars, instructor-led training, role-based learning, user documentation, troubleshooting guidance, and short-form training videos.
  • Experience delivering confident live training to audiences ranging from small teams to groups of 100 or more, including the ability to pivot when an audience reveals an unexpected need, workflow, or root cause.
  • Strong troubleshooting and research instincts, with the ability to rapidly learn unfamiliar products, locate reliable information, handle unexpected questions, and preserve session momentum.
  • Experience defining or leading user acceptance testing and release-readiness activities from a user, usability, documentation, training, or adoption perspective.
  • Experience partnering with Customer Success, Product Management or Product Owners, software engineering, support teams, and senior stakeholders.
  • Ability to establish standards, prioritize a portfolio, delegate appropriately, mentor contributors, and create durable operating practices without relying on formal people-management authority.
  • Excellent written, presentation, facilitation, and executive communication skills.
  • Working knowledge of information architecture, accessibility, content lifecycle management, knowledge-base practices, adoption measurement, and learning-program evaluation.
  • Experience training users on Microsoft products such as SharePoint, Teams, Outlook, Excel, Microsoft 365 Groups, or related collaboration tools.
  • Experience with Microsoft Teams town halls, webinars, or comparable large virtual event platforms.
  • Experience producing recorded training content and a portfolio or work sample demonstrating instructional approach and presentation quality.
  • Background in AEC, MEP, engineering, construction, Revit, BIM, or design technology; strong training leadership and learning agility are more important than prior Revit expertise.
  • Experience selecting or administering learning management, knowledge-base, video, analytics, or digital-adoption platforms.
  • Experience using AI tools such as Copilot or Claude to accelerate content development with disciplined source validation and human review.

Travel / Relocation Requirements

  • Up to 5%, this may include travel to any or all 50 US states
  • Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.

Education / Experience Requirements

  • 8+ years of professional experience in software training, product adoption, instructional design, technical writing, customer education, enablement, or a related discipline, including significant program ownership.
  • Bachelor's degree in Technical Writing, English, Instructional Design, Communications, Education, Information Systems, Architecture, Engineering, Construction Management, or a related field preferred; equivalent practical experience will be considered.
