About the Role

Are you a master of multitasking who thrives on keeping projects on time, on budget, and running smoothly? Bluetree Dental is seeking a dynamic Facilities & Construction Project Coordinator to bridge the gap between our daily facilities operations and exciting office renovation and reconfiguration projects.

In this role, you won't just sit behind a desk—you will be the primary liaison between our internal teams, external contractors, and architects. From conducting site walk-throughs to managing vendor relationships and optimizing our space footprint, your work will directly support our practices in delivering the absolute best environment for our patients and staff.

What You’ll Do (Key Responsibilities)

Renovation & Construction Support

  • Project Liaison: Serve as the primary point of contact between internal staff, external contractors, and architects during building renovations and office space reconfigurations.
  • Site Inspections: Conduct routine walk-throughs to ensure contractor remodeling and repair work meets safety codes, quality standards, and budget specifications prior to final sign-off.
  • Move Management: Plan and coordinate pre- and post-renovation relocations, including furniture placement, IT setups, and employee workstation rotations.
  • Warranty Management: Diligently document and track deficiencies or defects identified during the post-construction warranty period.

Daily Facilities Maintenance & Operations

  • Vendor Management: Source price quotes, schedule service calls, and manage relationships with third-party vendors for plumbing, electrical, HVAC, and janitorial services.
  • Work Order Oversight: Monitor, prioritize, and resolve day-to-day facility requests via our internal ticketing system.
  • Compliance & Safety: Enforce health and safety regulations, conduct routine building inspections, and maintain emergency preparedness and evacuation plans.
  • Space Planning: Assist in maintaining our space inventory, updating floor plans, and allocating office or parking spaces.

What We Are Looking For (Qualifications)

  • Experience: 2–5 years of progressively responsible experience in facilities management, general contracting, or commercial construction.
  • Education: High school diploma or equivalent required (trade certification or associate degree is a plus).
  • Renovation Know-How: Practical understanding of general construction, basic building systems (HVAC, plumbing, electrical), and local building codes.
  • Software Skills: Familiarity with Computer-Aided Design (CAD) for space planning, Computerized Maintenance Management Systems (CMMS), and standard office software (MS Excel, Teams).
  • Core Soft Skills: Exceptional multitasking abilities, strong vendor negotiation and conflict resolution skills, and clear, professional communication.
