THE ROLE

DGR Systems designs and delivers technology solutions that our clients rely on to run their organizations. Behind every successful engagement is strong coordination. Projects need to start with the right information, stay organized as work progresses, and close with accurate documentation and financial records.

This role goes beyond administrative support. You will own the intake and setup of new projects, support active engagements across the PMO, and grow into independently manage smaller, clearly scoped engagements.

You will report to the PMO Leader and work alongside DGR's Project Managers and technical delivery teams. This is a hands-on role that directly supports both the client experience and the teams delivering the work.

WHY THIS ISN’T A STANDARD COORDINATOR JOB

This role is designed for someone who wants more than a task-based coordination position. Project Coordinators at DGR are expected to understand what is happening across the engagement, stay ahead of open items, and gradually take on more ownership as their experience grows.

The Project Coordinator plays an important role at the beginning of every new engagement. You will set projects up in our systems, confirm that the right information and documentation are in place, and coordinate the transition from sales into delivery. As projects move forward, you will stay connected with Project Managers, technical teams, Finance, and clients to help keep work organized and moving

The work is varied and often moves quickly. Strong coordination at the beginning of an engagement prevents problems later, and consistent follow-through helps Project Managers and technical teams stay focused on delivery.

The Project Coordinator is an operational part of the delivery team. The work may happen behind the scenes at times, but its impact is visible throughout the engagement.

WHAT YOU’LL OWN

This role covers two things that have to work together for any engagement to start and finish cleanly.


The Setup

  • Coordinate the intake and setup of new projects: create and configure records in DGR's systems before delivery begins
  • Confirm that each engagement has the documentation, approvals, contacts, and statements of work it needs before the team kicks off
  • Coordinate the transition of new engagements from sales to the delivery team, making sure key information, commitments, and next steps are clear before delivery begins
  • Submit billing triggers and project milestone updates to Finance at the right points in each engagement lifecycle
  • Keep operational records, templates, trackers, and shared documentation current and organized


The Engagements

  • Support Project Managers on active engagements by tracking action items, maintaining documentation, and keeping schedules current
  • Manage the full project lifecycle independently on smaller, clearly scoped engagements, including direct client communication
  • Coordinate across PMs, technical resources, Finance, and client contacts to keep active work moving and make sure the right people have the information they need
  • Follow up with responsible parties until commitments close. Follow up on open commitments through completion rather than assuming a request is finished once it has been sent
  • Surface scheduling conflicts, missing information, overdue items, and delivery risks to the PM or PMO Leader early enough for the team to respond

You will also keep project records current throughout each engagement, not as a milestone activity but as an ongoing standard. If you went unavailable tomorrow, another team member should be able to pick up any active engagement without calling you first. Keeping that record current is part of the daily work, not something saved for the end of the project.

HOW WE WORK

  • Keep the project record current. Conversations, decisions, risks, and next steps need to make their way into the project record so the team is working from the same information. If it's outdated, someone is working from the wrong picture. Keeping the record current is not administrative overhead. It is how we protect delivery and protect our clients.
  • Follow through to completion. Sending an email, meeting invitation, or request is only the first step. You are expected to follow up, confirm next steps, and make sure important actions reach resolution.
  • We adjust the level of coordination to the needs of the engagement. A short, focused project should not require the same level of administration as a complex, multi-phase effort. Part of developing in this role is learning to recognize the difference.
  • The details matter because they affect delivery. Accurate setup, timely follow-up, current documentation, and billing coordination all contribute to a better experience for our clients and delivery teams. The Coordinator often has an opportunity to catch a problem early, before it affects the project or the client, and more importantly, the ability to act on it quickly to prevent it from becoming a larger issue.

WHAT WE’RE LOOKING FOR

You'll Need

  • 1 to 2 years of professional experience in project coordination, operations, client service, administrative support, or a similar role. Relevant internships may also qualify.
  • Strong follow-through and the habit of staying with open actions until they are resolved.
  • Documentation discipline. The ability to leave a record someone else can follow without asking you for context.
  • Clear, professional written and verbal communication with both technical and non-technical people.
  • Comfort working in Microsoft 365, particularly Outlook, Teams, SharePoint, and Excel.


It Will Help If You Have

  • Experience supporting project managers, technical consultants, or delivery teams in a technology or professional services environment
  • Familiarity with project management, ticketing, or professional services automation tools
  • Experience with time tracking, billing support, purchase orders, or service-related financial processes
  • Experience supporting multiple priorities, projects, or client engagements at the same time

We want you to have a clear picture of what will make someone successful in this role.


  • This role works best for someone who is comfortable learning an established process and then taking the next reasonable step without needing every routine action assigned.
  • Follow-through is a major part of the role. Success here requires staying engaged with open actions until they are completed or appropriately escalated.
  • This position carries more operational responsibility than a traditional administrative coordinator role. The work directly affects project delivery and the client experience.
  • The work changes frequently across clients and technology areas, so this role is best suited for someone who enjoys variety and can stay organized while managing several priorities at once.

The Project Coordinator role is the starting point for DGR's PMO career ladder. If you want to grow into a Project Manager, Senior Project Manager, or beyond, this role is how that path begins at DGR. COMPENSATION & BENEFITS

Base salary range $52,000 - $68,000

Work arrangement - Tampa area
