About the Opportunity

Metal Solutions Holdings is an entrepreneurial industrial holding company focused on acquiring and building specialized manufacturing businesses. Its operating company, Pen Manufacturing, combines several established Southern California metal-fabrication businesses and brands, including ASM, Pendarvis Manufacturing, and Ashworth Metal Products.

Pen serves customers across data centers, infrastructure, aerospace, defense, construction, and other industrial markets. The company is AS9100 certified and ITAR registered and is investing in equipment, people, systems, and additional manufacturing capabilities.

We are seeking an entrepreneurial, hands-on Finance, Accounting and HR Administration Manager to personally run the administrative backbone of Pen Manufacturing. This individual will work directly with the President and take day-to-day ownership of accounting, cash flow, accounts receivable, tax coordination, payroll, benefits, HR administration, Ramp, and general office administration.

This is an individual-contributor position. The successful candidate must be willing and able to personally perform the work—not simply supervise, delegate, or outsource it. We want someone who enjoys being close to the details, solves problems independently, and takes full ownership from identification through completion.

Responsibilities

Accounting, AR and Cash Flow

  • Personally own and complete the monthly financial close
  • Prepare journal entries, accruals, reconciliations, financial statements, and supporting schedules
  • Maintain an accurate general ledger and organized financial records
  • Coordinate inventory, WIP, job-costing, and manufacturing-accounting entries
  • Personally build and update the weekly cash-flow forecast
  • Own customer invoicing follow-up, AR reporting, collections, and cash-receipt forecasting
  • Prepare weekly reporting for the President covering cash, collections, tax liabilities, and upcoming obligations
  • Complete bank, payroll, credit-card, and balance-sheet reconciliations
  • Administer Ramp, including cards, spending limits, receipts, coding, approvals, and expense compliance
  • Support budgeting, forecasting, audits, lender reporting, and accounting-cleanup projects
  • Identify discrepancies, cash risks, and control failures and drive them to resolution

Routine AP processing and vendor-payment inquiries are handled separately. This person will maintain visibility into upcoming disbursements for cash-flow planning but will not serve as the primary vendor-inquiry desk.

Tax and Compliance

  • Personally maintain the company’s tax and compliance calendar
  • Track federal, state, local, payroll, sales-and-use, property, and other tax liabilities
  • Prepare the underlying schedules, reconciliations, records, and payment information required for tax filings
  • Coordinate technical filings and tax positions with the company’s outside CPA
  • Track tax notices, filings, payment plans, deadlines, and payment confirmations through completion
  • Provide the President with clear reporting on current and upcoming tax liabilities
  • Maintain licenses, permits, registrations, insurance certificates, and renewal requirements

HR, Payroll and Benefits

  • Personally administer Rippling and maintain accurate employee records
  • Process payroll inputs, timekeeping, PTO, deductions, reimbursements, and employee changes
  • Manage benefits enrollment, termination, employee questions, and carrier coordination
  • Complete onboarding, offboarding, background checks, I-9s, employee documentation, equipment, and systems access
  • Maintain confidential personnel files, handbook acknowledgments, job descriptions, and training records
  • Manage the HR inbox and respond to routine employee questions
  • Coordinate workers’ compensation, leave, and required employment documentation
  • Prepare offer letters and coordinate recruiting administration and interview scheduling
  • Work with the company’s HR consultant on investigations, employee relations, discipline, terminations, and complex California compliance matters

Office and Executive Administration

  • Serve as a trusted administrative liaison directly to the President
  • Personally manage office records, mail, supplies, subscriptions, access, equipment, and service providers
  • Coordinate meetings, travel, visitors, internal communications, and executive-administration needs
  • Create and maintain documented administrative processes, checklists, calendars, and reporting tools
  • Follow up directly with employees regarding receipts, approvals, forms, paperwork, and deadlines
  • Take loosely defined business problems, determine what needs to happen, and carry the work through completion
  • Support special projects involving lenders, advisors, insurance, systems, and future acquisitions
  • Build repeatable administrative systems that can eventually support additional Metal Solutions Holdings businesses
  • Handle employee, financial, legal, ownership, lender, and acquisition information with complete confidentiality

Desired Experience

  • 7+ years of progressive accounting, finance, HR-administration, and business-operations experience
  • Experience as an Administration Manager, Accounting Manager, Office and Accounting Manager, Assistant Controller, or small-company Controller
  • Demonstrated ability to independently complete a monthly financial close
  • Strong knowledge of financial statements, reconciliations, accruals, AR, collections, payroll, benefits, and cash forecasting
  • Experience in manufacturing, construction, distribution, aerospace, or industrial services strongly preferred
  • Familiarity with inventory, WIP, job costing, and manufacturing ERP systems
  • Experience with QuickBooks, Ramp, Rippling, or comparable systems preferred
  • Must be available to work onsite five days per week
