About the role

Prime is seeking a highly organized, resourceful, and high-integrity Executive & Personal Assistant to support one of our Senior Executive. This role is primarily executive and business support, with a smaller, but important component of personal support for family and household matters. The scope and level of autonomy will grow over time as the working relationship develops: this person will need to genuinely learn the business, understand the CEO's priorities and working style, and build the kind of trust that lets them anticipate needs before being asked. Discretion and confidentiality are essential, and chemistry and character matter as much as professional skill.   

Key Responsibilities 

Executive / Business Support (primary focus) 

• Manage a complex, often shifting calendar for the executive, who travels internationally to Europe roughly 1-1.5 weeks per month and domestically to Denver on a recurring basis 

• Screen and manage email, correspondence, and phone calls 

• Coordinate the executive's travel logistics and detailed itineraries (note: this role does not involve traveling with the executive) 

• Proactively reach out to and coordinate directly with internal and external contacts to schedule meetings and drive follow-through, including tracking down the right person and making things happen, not just managing a calendar 

• Prepare briefing materials, agendas, and follow-up notes for meetings 

• Handle expense tracking, invoicing, and basic administrative record-keeping 

• Support the upcoming New York office relocation (early next year) as needed 

• Liaise with business partners, clients, vendors, and staff on the executive's behalf 

Personal Support (less focus, but meaningful) 

• Help coordinate family logistics, including support around family care needs and management of multiple residences 

• Manage personal scheduling, appointments, and reminders 

• Run errands and coordinate personal shopping, deliveries, and services as needed 

• Assist with household vendor coordination (maintenance, repairs, deliveries) 

• Handle ad hoc personal requests and projects with discretion and efficiency 

What We're Looking For 

• A strong interpersonal fit: someone the executive can build genuine trust with over time, beyond just meeting the role's technical requirements 

• A track record of remaining composed and effective in high-pressure, fast-moving environments 

• A proactive, resourceful approach to problem-solving, with the flexibility to accommodate occasional urgent requests outside standard hours 

• Willingness to build responsibility and autonomy gradually as the working relationship develops 

• Strong interpersonal skills, with the ability to build rapport and work effectively with stakeholders inside and outside the company 

Compensation & Benefits 

130K-170K (commensurate with experience). This role is not a standard 9-to-5, and going above and beyond during high-demand periods is recognized through bonus compensation.
