The Opportunity

TopDog Law partners with law firms across the country to deliver better outcomes for clients. Behind every partnership is an operational layer that keeps data clean, communication moving, and nothing falling through the cracks. This role owns that layer — hands-on, not from a dashboard.


You'll manage a small team responsible for reconciling lead and case data from external law firm partners and staying on top of document collection. This is not a pure people-management seat. You need to know the numbers cold, every week, without asking your team for them — and be comfortable managing tightly when the numbers say the team isn't hitting the bar. Inaccurate data should genuinely bother you until it's fixed. Whatever it takes to hit the number, you're in it alongside your team, not delegating from above it.


What You Will Own

Own Data Integrity & Reconciliation

  • Ensure lead and case data from external partners is collected, reviewed, and reconciled into Salesforce accurately and on time
  • Set the standard for what "reconciled" actually means and hold the team to it — close enough is not reconciled
  • Be the internal expert on how partner data flows — the person everyone calls when something doesn't add up
  • Track pending and aging cases proactively so nothing slips past acceptable thresholds unnoticed

Own Document Collection

  • Drive document collection from external partners against defined targets and deadlines
  • Hold partners accountable for providing the data you need — chase it down, don't wait on it
  • Partner non-responsiveness is a problem you solve, not an excuse you report

Lead the Team

  • Direct prioritization of the team's work week to week — decide what gets worked first and why
  • Set clear expectations for every person on your team and hold them accountable to the work, not just the schedule
  • Coach in real time and have direct accountability conversations the moment performance dips — not at the next review
  • Be a player-coach — carry accounts and get into the data yourself when the team needs it

Manage the Function Like a Project

  • Sequence recurring monthly work against hard deadlines and know status on every workstream at any given moment
  • Treat this as a function you're building to be the best version of itself, not a set of tasks to maintain
  • Identify and fix process gaps before they become recurring problems

Communicate and Solve Problems

  • Be ready to answer executive-level questions on numbers and status at any time — you should never be caught flat-footed
  • Headline first, every time: here's the problem, what I tried, my recommendation, what I need from you
  • Back every position with data — show your work

What You Bring

Required:

  • 3–5 years in operations, data reconciliation, or a role where accuracy and partner-facing coordination were core to the job
  • Has managed a team — set expectations, ran accountability conversations, developed people, not just supervised them
  • Project management skills — can sequence work, track status across multiple workstreams, and hit recurring deadlines without things falling through the cracks
  • Borderline obsessive about numbers matching — two sources that don't reconcile bothers you until you know why
  • Comfortable presenting numbers and status directly to executives, unscripted
  • Wants to own a function and make it excellent, not just keep it running
  • Has held an external partner accountable for providing data or deliverables without formal authority over them

Preferred (Nice to Have):

  • Experience managing partner or vendor relationships with real data handoffs
  • Legal, financial services, or similarly regulated environment
  • Process improvement or systems optimization background
