About the role

  • The Project Manager (PM) plays a critical role in driving cross-functional initiatives, managing complex timelines, and ensuring executional excellence across Qalam’s departments and entities. Reporting directly to the COO, the PM serves as the operational right-hand in tracking priorities, supporting execution, and translating strategic vision into actionable plans. This individual must be highly organized, resourceful, and capable of managing multiple projects within a fast-paced nonprofit environment. Additionally, this role provides executive administrative (EA) support to senior leadership.

What you'll do

  • Project & Program Management
    • Manage and execute key cross-departmental projects from initiation to completion (e.g., construction, program launches, system rollouts).
    • Create and maintain project timelines, task assignments, and milestone tracking.
    • Ensure clear communication of project goals, updates, and challenges to stakeholders.
  • Operational Coordination
    • Support the COO in operationalizing strategic priorities and ensuring accountability across departments.
    • Develop and maintain internal dashboards, project trackers, and SOP documentation.
    • Collaborate with department leads to identify bottlenecks and optimize workflows.
  • Internal Communication & Reporting
    • Facilitate weekly check-ins and project reviews with relevant teams.
    • Prepare executive summaries, board-ready reports, and post-project evaluations.
    • Support the COO in preparing for leadership meetings, retreats, and strategic planning sessions.
  • Systems & Process Development
    • Assist in implementing organizational tools (e.g., project management software, CRM, file management).
    • Recommend process improvements and best practices across administrative, programmatic, and development functions.
  • Executive Administrative Support
    • Manage calendars for the President and COO, prioritizing appointments and travel.
    • Support leadership as needed.
  • Your job duties and responsibilities will include but are not limited to the following:
    • (a) Manage calendar, including making and prioritizing appointments and travel, for the President and COO.
    • b) Provide administrative assistance, including but not limited to writing and editing e-mails, drafting memos, and preparing communications on behalf of the Executive Chairman and Executive Director.
    • c) Organize meetings, including scheduling, sending reminders, managing meeting logistics, and organizing catering when necessary.
    • d) Other tasks as reasonably requested by Company.

Qualifications

  • Bachelor’s degree in business, nonprofit management, or related field (Master’s preferred).
  • 3–5 years of experience in project management, preferably in a nonprofit or educational setting.
  • Proficient in project management tools (e.g., Asana, ClickUp, Trello) and collaborative platforms (e.g., Google Workspace).
  • Demonstrated ability to manage multiple projects and stakeholders simultaneously.
  • Excellent written, verbal, and interpersonal communication skills.

Working Conditions

  • Some evening or weekend work may be required based on project needs.
