About the role


Role type: Permanent Full time, 40 hours per week Monday to Friday.

Location: Head Office, Enfield.


The Executive Assistant to the operations Director provides high-level administrative and organisational support, allowing the Director to concentrate on strategic priorities. The Executive Assistant also facilitates smooth communication, manages scheduling and logistics, and supports the day-to-day activities that enable the Operations Director to function efficiently and achieve key objectives.


What you'll be doing

  • Manage the Operation Director’s schedule, including organising meetings, appointments, and travel arrangements.
  • Prepare and proofread correspondence, reports, presentations and documents exclusively for the Operations Director.
  • Act as the primary point of contact for the Operations Director, managing and prioritising communications, including emails, calls, and correspondence, while ensuring urgent matters are flagged appropriately.
  • Organise and coordinate meetings chaired by the Operations Director, including preparing agendas, materials, and minutes, as well as managing logistics for departmental or external meetings.
  • Attend meetings as required to take notes, track action items, and follow up on deliverables.
  • Assist with budget tracking, invoicing, and basic financial reports related to the executive office.
  • Assist the Operations Director with special projects and initiatives, ensuring alignment with departmental priorities, including conducting research and preparing briefing materials.
  • Maintain and organise the Operation Director’s files and workspace, ensuring optimal productivity.
  • Perform additional administrative tasks as needed to support both the Operations Director in achieving strategic objectives.
  • Maintain strict confidentiality and discretion when dealing with sensitive information.

What we're looking for


Essential:

  • Good communication and negotiation skills, with the ability to influence both internal teams.
  • 3+ years’ experience in a Senior Administrative or Executive Assistant role
  • Exceptional organisational and multitasking skills
  • Proficient with Microsoft Office Suite (Microsoft Excel and Word)
  • Professional demeanour and the ability to work under pressure with minimal supervision.
  • Proactive and solution-oriented approach to work.

Desirable:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Knowledge of construction industry
