JOB SUMMARY  

 

We are seeking a highly organized and detail-oriented Sales Operations Specialist to support the day-to-day administrative needs of our Sales organization. This role is critical in helping our sellers stay focused on selling by managing the administrative, coordination, and documentation tasks that keep deals moving forward.

 

The ideal candidate is proactive, adaptable, and comfortable working in a fast-paced environment. They take pride in accuracy, have strong professional communication skills, and enjoy being the operational backbone that ensures a smooth, efficient sales process from proposal through post-sale handoff.

 

​​Role and Responsibilities​

 

·         Draft proposals, pricing documents, and Statements of Work (SOWs) using approved templates and coordinating internal reviews.

·         Manage transactional procurement requests (e.g., software firewall renewals, network hardware purchases, and other one-off items directed by sellers and our Managed Security Services team).

·         Ensure all customer-facing documents (including RFP responses) are accurate, consistent, and aligned with internal standards.

·         Assist sellers with scheduling meetings, demos, internal handoffs and external customer kick-offs.

·         Enter and maintain accurate Salesforce data for Accounts, Contacts, Opportunities, and related objects as directed by sellers.

·         Support sellers with LinkedIn activities (drafting outreach, following customers, monitoring activity, etc).

·         Assist with maintaining organized documentation across SharePoint, including templates, playbooks, and sales resources.

·         Provide general administrative support to the Sales & Marketing team, including meeting coordination, file organization, and process follow-through.

·         Collaborate with the Senior Sales Operations Specialist to improve tools, workflows, and processes over time.

 

Required Qualification & Education 

 

·         1–3 years of experience in Sales or Marketing Operations, Administrative Support, or a related role.

·         University degree.

·         Strong documentation, organization, and communication skills.

·         Strong attention to detail with a commitment to accuracy and consistency.

·         Ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.

·         Clear and professional written and verbal communication skills.

·         Comfortable learning new systems, processes, and tools quickly.

·         Customer-centric mindset and a desire to support sales success.

 

Required Software Knowledge 

 

·         Working knowledge of Salesforce (or similar CRM) for data entry and record updates.

·         Proficiency with Microsoft Office (Word, Excel, PowerPoint).

·         Familiarity with LinkedIn and basic digital communication tools.

 

Preferred Experience 

 

·         Experience drafting proposals, SOWs, or structured business documents.

·         Experience supporting U.S.-based sales or operations teams.
