Position Purpose
To independently manage purchasing and procurement activities, ensuring materials, supplies, and services are sourced efficiently, cost-effectively, and in alignment with company standards. The Purchasing Specialist II serves as a knowledgeable resource for purchasing decisions, vendor relations, and problem resolution.
Goals of Position:
- Ensure timely and accurate procurement of materials and supplies
- Maintain strong vendor relationships and negotiate favorable terms
- Support inventory optimization and cost-control initiatives
- Resolve purchasing discrepancies with minimal supervision
- Ensure compliance with purchasing policies and procedures
Responsibilities:
- Independently create, review, and manage purchase orders
- Communicate with vendors regarding pricing, availability, lead times, and delivery issues
- Negotiate routine pricing, freight terms, and order conditions within established guidelines
- Resolve discrepancies related to pricing, quantities, billing, or delivery
- Coordinate purchasing activities with warehouse, sales, and accounting teams
- Assist with inventory planning, replenishment, and special projects
- Support training or guidance for Purchasing Specialist I, as needed
- Perform other duties as assigned
Major Challenges:
- Managing complex or high-volume purchasing needs across departments
- Balancing cost control with operational urgency
- Addressing vendor performance issues or supply chain disruptions
- Ensuring accuracy and compliance while working independently
- Prioritizing multiple purchasing requests with competing deadlines
Authority:
· Act Alone:
- Manage routine purchasing activities and vendor communications
- Negotiate standard pricing and delivery terms within approved limits
- Resolve purchasing discrepancies and documentation issues
· Touch Base with Supervisor:
- Escalate vendor performance concerns or recurring supply issues
- Review inventory strategy or unusual purchasing trends
- Discuss process improvements or cost-saving opportunities
· Need Approval from Supervisor:
- Select or replace vendors
- Approve non-standard pricing, contracts, or special purchase arrangements
- Commit to large, non-budgeted, or high-risk expenditures
Evaluated Quarterly On:
Education and Experience
Required: High School Diploma or equivalent
- 3–5 years of experience in purchasing, procurement, or inventory management
- ERP or purchasing system experience preferred
