We are seeking a Surgical Patient Care and Insurance Coordinator to be the vital link connecting the patient, the surgical team, and the financial process. This is a high-impact, collaborative role where your expertise will ensure every patient experiences a smooth, well-documented, and timely path to surgery. You will be the patient's primary point of contact, acting as their advocate and expert guide from the initial consultation through to scheduling the final post-operative appointment.

What you'll do:
Key Responsibilities
1. Expert Patient Insurance and Financial Guidance
- Financial Consultation: Serve as the patient's expert on insurance processes, estimated costs, and verified eligibility. Conduct in-person consultations to review the financial path, answer non-medical questions, and manage patient expectations.
- Eligibility & Authorization: Verify and confirm patient insurance coverage and eligibility for planned surgical procedures. Meticulously gather and prepare all required documentation for the authorization process and efficiently hand off a complete packet to the Authorization/Billing team.
- Patient Advocacy: Present and discuss financing options for non-covered items or when high patient responsibility is confirmed. Skillfully and sensitively guide patients through the final booking steps to ensure a patient-centered "close-the-sale" experience.
- Clear Communication: Maintain expert knowledge of surgical procedures to provide clear, compassionate, and concise non-medical explanations, knowing when to refer clinical questions to medical staff.
2. Comprehensive Surgical Scheduling and Logistics
- End-to-End Scheduling: Manage the complete booking process for all surgical procedures (insurance and self-pay) once authorization is confirmed. Work with the Practice Manager to determine the appropriate path when authorization is not available.
- Appointment Management: Schedule all pre-operative, surgery, and post-operative appointments according to practice guidelines and patient needs.
- Facility & Equipment Coordination: Book operating facilities and coordinate essential logistics, including requesting specialized equipment, tools, and personnel required by the surgeon.
- Meticulous Documentation: Ensure meticulous documentation in the scheduling system, including procedure details, correct CPT and DX codes, anesthesia type, and all surgeon-specific operating needs.
- Testing & Transactions: Coordinate Health & Physical (H&P) and Pre-Admission Testing (PAT) requirements. Manage financial transactions related to the procedure, including paying required facility/vendor fees and purchasing cosmetic insurance (e.g., CosmetAssure).
- Communication Hub: Promptly and accurately communicate all scheduling updates to patients, providers, staff, and facilities.
Qualifications:
- Associate's degree strongly preferred.
- At least three years of experience with surgical scheduling, insurance eligibility, surgical sales, or a comparable role is required. A degree may substitute for some experience.
- Knowledge of typical health insurance terms and approval processes.
- Service oriented outlook with strong interpersonal and communication skills are required.
- Excellent organizational skills are essential, as is the ability to manage details accurately and correctly.
- Command of confidentiality and privacy are essential.
- Ability to juggle and prioritize multiple tasks and ask for help and guidance as needed are required.
- Familiarity with medical terminology and medical/aesthetic office procedures or the ability to learn quickly is required.
- A positive outlook with a collaborative approach to support the success of RAS is essential.
- Strong computing skills including knowledge of word processing, spreadsheets, email, and practice management and/or electronic medical records.
