About the role


We are seeking a proactive and highly organized Executive Assistant to provide high-level administrative support to company executives. This individual will play a vital role in ensuring the smooth and efficient day-to-day operations of the executive office. The ideal candidate is detail-oriented, professional, and discreet, with excellent communication and time management skills. This position is based in our Austin office, with required travel to other Texas locations including Corsicana and Rockdale, and occasional travel outside of Texas.


Essential Functions


Responsibilities include, but are not limited to:

  • Manage the executive’s calendar by scheduling meetings, conferences, and travel arrangements.
  • Prepare meeting materials, track meeting progress and follow-ups, and draft or edit correspondence.
  • Support daily administrative tasks, including expense reports, itineraries, agendas, and document preparation.
  • Ensure the executive is well-informed of upcoming responsibilities and priorities.
  • Serve as a key contact for internal and external stakeholders, maintaining professional relationships.
  • Answer and direct phone calls, handling sensitive information with confidentiality.
  • Plan and coordinate company meetings, events, and celebrations.
  • Organize and manage incoming mail, office documents, and supply inventory.
  • Be available outside regular business hours for urgent needs related to scheduling or travel.
  • Occasionally perform errands such as collecting deliveries.

Knowledge, Skills, and Abilities

  • Highly organized, self-directed, and able to manage multiple priorities efficiently.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and time management.
  • Ability to take initiative, anticipate needs, and maintain a high level of discretion.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Comfortable working in a fast-paced, dynamic environment.
  • Familiarity with digital collaboration tools such as Zoom, Microsoft Teams, and Slack (preferred).
  • Experience planning events or coordinating projects (preferred).

Education and Experience 

  • High School Diploma or GED – Required
  • Bachelor’s Degree – Preferred
  • Minimum of 3 years of experience in an administrative or office support role
  • Experience supporting C-level executives is a plus
