About the role
The Order Intake Specialist I supports patients and providers throughout the prescription intake and fulfillment process. This role ensures orders are accurate, compliant, and processed efficiently while delivering warm, empathetic communication. As the first touchpoint for many patients, this role plays a key part in creating a positive experience and strengthening provider relationships.
Duties & Responsibilities
- Work directly with physicians, clinical teams, and patients to validate and process DME prescriptions.
- Assist with preparation of new prescriptions, demo items, compliance reviews, and insurance verification steps.
- Handle inbound and outbound patient communications, including refills, prescription reviews, and product inquiries.
- Interact with patients via phone to provide updates on shipments, insurance coverage, and available product options.
- Conduct prior authorization, insurance eligibility checks, and document all actions accurately in EMRs and internal systems.
- Communicate with providers regarding addendums, compliance issues, and any missing documentation required for order completion.
- Maintain detailed product knowledge, including HCPCS codes, lubrication types, materials, and specialty-specific requirements.
- Own assigned provider organizations, supporting both provider and patient satisfaction through clear and timely communication.
- Use appropriate escalation channels (ticketing for non-urgent issues, Slack for urgent operational escalations).
- Work professionally and accurately while adhering to operational expectations, including HR trainings, self-reviews, attendance, and security protocols.
- Deepen knowledge of the healthcare and DME industry to support continuous improvement and high-quality patient care.
