Position Summary

The Admin Assistant is responsible for the day-to-day administrative operations of the office, ensuring a clean, organized, and efficient work environment. This role supports company leadership, provides admin assistance to staff, and manages vendor relationships and facility needs. The position also includes light IT coordination, travel arrangements, and internal communications. There is opportunity for growth and exposure to human resources, including employee onboarding and collaboration with the HR team.

Primary Responsibilities

  • Organize and maintain office spaces to ensure a clean, safe, and functional environment.
  • Oversee office supply procurement, inventory management, and equipment functionality.
  • Manage vendor relationships related to office utilities, supplies, and services.
  • Track office equipment and software licenses; coordinate hardware distribution and repairs.
  • Ensure smooth operation of printers, scanners, and other office equipment.
  • Maintain and implement office policies and standard operating procedures.
  • Manage calendars, appointments, travel bookings, and meeting coordination.
  • Provide administrative support to executives and senior staff.
  • Maintain filing systems, shared documentation, and office records.
  • Support the HR team with onboarding tasks, benefit inquiries, and employee coordination.
  • Coordinate cleaning, maintenance, and security services for the facility.
  • Respond to general employee questions and help address workplace issues as appropriate.
  • Track and manage office-related budgets and expenses.
  • Demonstrate expertise in the Atlassian suite (e.g., Jira, Confluence) and Possess hands-on experience with the Rippling suite.
  • Support and organize employee engagement and office fun activities, including team events and celebrations.
  • Assist the HR team with logistics and coordination for employee engagement activities, including materials preparation, and on-site support.
  • Act as the primary point of contact for IT management for both software and hardware -related support, including troubleshooting hardware and software issues and coordinate external support as needed.
  • Possess a working knowledge of immigration processes and related documentation, assisting with filing and tracking visa-related paperwork and ensuring compliance with relevant regulations.
  • Monitor and assess office operations to identify areas for process improvement.
  • Provide document-related assistance to the HR team, including organizing and maintaining employee records, benefits documentation, and compliance files.
  • Serve as a central point of contact for internal and external communications

Education

  • Bachelor’s degree in Business Administration or a related field preferred

Skills and Experience

  • 3–7 years of administrative or office management experience
  • Strong organizational and time management skills
  • Professional communication and interpersonal skills
  • Proficiency in Google Workspace and office management tools
  • Ability to manage multiple priorities and take initiative
  • Familiarity with IT troubleshooting (basic level)
  • Experience supporting HR processes is a plus
  • Ability to handle confidential information with discretion
