Employment Details: Full Time, Non-Exempt, Monday-Friday during business hours
Compensation: $25.25-27.00/hour
About the role: We a searching for a Property Coordinator to provide administrative support to our dynamic property team. In this role, you'll be the organization backbone, processing invoices from vendors, creating check requests, monitoring our internal work order email and more!

What you’ll do:
Data Documentation
- Maintain current lists of housing availability and prospective landlords to participate in housing SHELTER, Inc. participants as provided/updated by the Housing Navigation Team.
- Maintain/update current landlord list for all Master Leased Units
- Oversee management of landlord relations including ensuring complete landlord packets, new landlord set- up, creating and closing landlord files, managing contact information, etc.
- Track lease expirations, renewals, rent increases, insurance, and inspections
- Maintain and verify the accuracy of monthly landlord payables
- Respond to complaints and inquiries
- Maintain/update tenant files
- Assist with keeping all relevant property management data up-to-date in Yardi system and maintain tenant files in accordance with applicable guidelines,
- Conduct tenant file audits to ensure ongoing compliance with funding regulations, landlord/tenant laws, and program requirements, including leases, notices, rent adjustments, and eviction documentation.
- Completing move-in and move-out processes in Yardi.
- Maintain/update current vendor information
- Ensure Vendor licensing and insurance documents are complete and accurately maintained.
- Route new vendor proposals for approval.
- Oversee special projects to identify and resolve Yardi issues.
- Maintain Property Department physical and electronic files as applicable
- Ensure compliance with Document Control Policies and File Retention Policies.
Administrative
- Handle the scheduling, invoices, and check requests for Property Department payables
- Greet visitors and assist with inquiries from tenants, landlords and vendors
- Maintain and complete monthly credit card reconciliations
- Prepare a variety of periodic reports
- Maintain Incident Reports
- Make photocopies, fax documents, file documents, and perform other clerical functions.
- Provide related administrative support to the Property Team as assigned.
Meetings and Workshops
- Reserve facilities/conference rooms for department and or team meetings/functions.
- Schedule team trainings events as needed
- Maintain and coordinate schedules of tenant workshops/briefings to help educate participants how to be a good tenant and maintain housing stability
- Maintain and coordinate schedules of landlord workshops/briefings to outreach landlords to participate in the SHELTER, Inc. programs and promote program engagement
- May serve in safety and other committees as needed
What you’ll bring:
- 1 year property management or affordable housing and program compliance experience.
- Microsoft Office skill, Yardi is a plus!
- Experience working with low income and/or homeless, and/or disabled population
- CCRM and/or COS or any other property management certification, is a plus!
Position Requirements:
- Must successfully pass a criminal background check
- Must provide TB test clearance
