Description of Duties 

Title : Senior Business Systems Administrator

Department: Technology/IT/Finance

Reporting To: Head of Strategy

Classification: Exempt

Salary/Hourly Range*:  $140k to $160k

Working Hours*: Monday through Friday 

Location: Van Nuys & Veron

We are seeking a highly skilled Senior Business Systems Administrator to oversee and optimize our core business systems including NetSuite (ERP), Shopify and Airtable. As a key member of our technology team, you will drive system reliability, scalability, and innovation while partnering closely with Operations, Finance, Product and Retail teams. 

This role will ensure that all systems within our tech stack are well-maintained and seamlessly connected—enabling efficiency, visibility, and growth across the organization. You'll also lead integration projects for new systems and help the company take proactive approaches to ensure data is accurate and reliable across systems and teams.

The ideal candidate has strong expertise in retail systems, iPaaS integrations and data management, paired with solid project management and cross-functional communication skills.

Essential Duties and Responsibilities

System Optimization & Governance

• Data Integrity: Monitor and maintain data accuracy across all integrated systems, implementing automated checks and resolving discrepancies proactively
• Maintenance: Implement system upgrades and patches across business platforms
• Process Improvement: Identify opportunities to automate manual processes, reduce system friction, and improve operational efficiency through better integrations
• Vendor Management: Manage relationships with technology vendors, integration platform providers, and external consultants as needed

Technical Leadership & Integration Management

• System Implementation: Own the end-to-end setup and integration of new business systems, from requirements gathering through to configuration, testing, and deployment
• System Integrations: Design, build, and maintain integrations in Celigo or other middleware connectors to link NetSuite, Shopify, Airtable, and other platforms

Netsuite Administrator

• System Management: Primary troubleshooting support, lead optimization requests, work with external consultants on creating customization and automations
• Strengthen Data Reporting: Create and evolve business reporting, allowing users to make impactful business decisions with speed and precision
• Training: Support company initiatives to have all users well-versed in report building, finding information and easily updating transactions

Operations Enablement & Communication

• Process Documentation & Training: For all new system implementations, deliver clear communication of system structure, technical workflows, and operational processes to the Operations team and other stakeholders
• Cross-Functional Partnership: Translate business requirements from cross-functional partners into technical solutions and integration strategies
• Change Management: Lead change management efforts for system rollouts, ensuring smooth transitions and user adoption

Qualifications:

Required Experience & Skills

• 5+ years in business systems management, technical integrations, or similar roles within retail, fashion, or e-commerce environments
• Expert-level knowledge of:
• • NetSuite ERP (customization, SuiteScript, saved searches, workflows)
  • Shopify Plus (API, apps, custom integrations, order/inventory management)
  • Celigo Integration Platform (flow design, error handling, optimization)
• Project leadership: Proven ability to lead technical projects from inception to launch, managing timelines, stakeholders, and deliverables
• Communication and System Design excellence: Exceptional ability to translate complex business needs into sustainable system architecture and provide process mapping and workflow design before implementation
• Integration platform expertise: Deep experience with Celigo; familiarity with other iPaaS tools (Workato, MuleSoft, Boomi) is a plus
• Data management: Solid understanding of data structures, ETL processes, data mapping, and database concepts

Preferred Experience

• Fashion/Wholesale Systems: Experience with PLM Tools, Allocation Tools, Airtable, JOOR, or similar wholesale and operations management platforms
• Omnichannel Retail: Understanding of inventory management, order fulfillment, wholesale operations, POS integrations, and financial reconciliation in fashion retail
• NetSuite Advanced: SuiteAnalytics, SuiteFlow, custom records, and NetSuite SDF (SuiteCloud Development Framework)
• Coding proficiency: Comfortable writing and debugging code in JavaScript, Python, or similar languages for custom integrations and automation
• SQL & Database Skills: Experience querying databases and working with data warehouses

• Clean Data Reconciliation: Transactions between systems are correctly matched and balanced (inventory, financials, sales).
• System Reliability: Data flow between critical systems is stable with minimal manual intervention. Issues are handled proactively with clear communication to stakeholders.
• Cross-Functional Communication: Strong partnership and clear communication with all business leads and users. Business objectives are translated into thoughtful and scalable system architecture.
• New System Deployment: New system onboarding is delivered on schedule and launched with thorough documentation and user training
• Proactive Problem Solving: Comfortable operating in a fast-growing environment, offering new solutions to alleviate manual workloads and ensure the tech stack supports evolving complexities
