THE JOB

We’re a small but mighty team powering the billing engine behind a growing number of financial advisors and wealth management firms. Our work is inherently detail-oriented and deadline-driven, yet we maintain an upbeat, collaborative, and supportive environment. We’re seeking a self-motivated, high-energy Billing Associate to join us. This individual will be instrumental in the day-to-day execution of comprehensive billing operations for a diverse portfolio of RIA (Registered Investment Advisor) and TAMP (Turnkey Asset Management Platform) clients. You'll need to be an adaptable and proactive individual, eager to dive into complex tasks, ask insightful questions, and contribute innovative solutions in a dynamic, fast-paced setting.

WHAT YOU’LL GET TO DO

  • Conduct ongoing data integrity checks and reconcile billing data to ensure absolute accuracy across platforms.
  • Assist in the full lifecycle of billing setup and maintenance, including new client onboarding and offboarding configurations within Orion.
  • Generate, audit, and validate monthly and quarterly customized billing reports and client invoices, ensuring adherence to advisory agreements.
  • Communicate proactively and professionally with financial advisors and wealth management firm contacts to clarify billing questions, resolve discrepancies, and provide exceptional billing support.
  • Oversee and audit calculations from third-party billing software, identifying and correcting anomalies promptly.
  • Monitor software platforms daily to catch and resolve data inconsistencies or operational issues early.
  • Collaborate closely with internal finance, operations, and wealth management teams to manage shared tasks, troubleshoot complex billing scenarios, and streamline workflows.
  • Contribute to the creation and maintenance of internal billing procedures and documentation.
  • Effectively manage a diverse range of tasks and concurrent deadlines while staying organized and maintaining robust internal communication.

WHAT WE’RE LOOKING FOR IN TEAM MEMBERS

  • A collaborative spirit with a proven ability to work effectively across different internal teams (finance, operations, client service).
  • High adaptability and agility to thrive in a continuously evolving start-up environment.
  • A proactive and entrepreneurial mindset, identifying opportunities for process improvements and taking initiative to implement solutions.
  • Resourcefulness and a strong problem-solving orientation when faced with new challenges or ambiguous situations.
  • Exceptional communication skills, capable of translating complex billing information clearly to both technical and non-technical stakeholders.

WHAT YOU HAVE

  • Direct experience working with Orion billing platforms (e.g., setting up fees, running reports, managing client accounts).
  • Proven experience working with RIA or TAMP billing operations, understanding fee structures and client billing cycles.
  • Proficiency in Excel and/or Google Sheets (advanced formulas, pivot tables, data manipulation).
  • Strong written and verbal communication skills for client and internal interactions.
  • Demonstrated ability to prioritize tasks, manage multiple deadlines, and maintain exceptional organization.
  • Keen attention to detail and a high level of accountability for financial data accuracy.
  • Self-driven and able to stay focused and productive in a remote work environment without constant supervision.

Nice to have

  • Understanding of financial advisory business models and industry regulations.
  • Prior work with other performance reporting tools such as Addepar, Black Diamond, or similar.
