About the Role

We’re looking for a highly organized, hands-on Operations Manager to work directly under the COO and act as their number two across the agency’s operational priorities.

This role is for someone who thrives in fast-moving environments, loves bringing structure to chaos, and can keep projects, people, and priorities moving forward. You’ll be deeply involved in project management, internal operations, quarterly planning, OKRs, process improvement, and cross-functional execution across the agency.

You’ll help ensure that key initiatives are delivered on time, teams have clear ownership and accountability, and the COO has strong operational support across both strategic and day-to-day priorities. You’ll also own your own operational projects from start to finish.

Key Responsibilities

COO Support & Operational Leadership

  • Work directly with the COO to manage agency-wide operational priorities, ensuring projects are moving, blockers are surfaced, and follow-through happens.
  • Act as a trusted second-in-command for the COO, helping translate strategy into clear execution plans, timelines, workflows, and accountability across the team.
  • Prepare updates, project trackers, meeting agendas, internal documentation, and follow-up actions to keep leadership and teams aligned.

Project Management

  • Own and maintain project management systems across the agency, ensuring projects have clear owners, timelines, milestones, and next steps.
  • Track progress across key internal and client-facing operational projects, proactively identifying delays, risks, and dependencies.
  • Lead project check-ins, ensure action items are completed, and make sure work is delivered on time and to a high standard.

OKRs & Quarterly Planning

  • Support the COO in setting, tracking, and managing quarterly OKRs across the agency.
  • Help turn quarterly goals into actionable project plans, with clear timelines, owners, metrics, and reporting rhythms.
  • Monitor progress against OKRs and ensure leadership has visibility into what is on track, at risk, or blocked.

Process Improvement & Systems

  • Identify operational inefficiencies and build better systems, workflows, templates, and processes to improve team performance.
  • Document repeatable processes and help create scalable ways of working across departments.
  • Support internal adoption of tools, project management practices, and operating rhythms.

Ownership of Key Projects

  • Independently own and execute operational projects that improve agency performance, team productivity, client delivery, or internal systems.
  • Work cross-functionally with department leads and team members to drive initiatives from idea to implementation.
  • Balance hands-on execution with strategic thinking, knowing when to dive into the details and when to escalate.

You’ll likely be a strong fit if you have:

  • Experience in operations, project management, agency operations, business operations, or a similar role.
  • Strong project management skills and the ability to manage multiple priorities at once.
  • Experience working closely with senior leadership, ideally a COO, founder, or department head.
  • Familiarity with OKRs, quarterly planning, team scorecards, or business operating systems.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and a bias toward follow-through.
  • Ability to work cross-functionally and hold people accountable in a collaborative way.
  • Comfort operating in a fast-paced, changing environment.
  • A hands-on mindset — no task is too small when it helps move the business forward.

Nice to Have

  • Experience working in an agency, social commerce, ecommerce, influencer marketing, creator marketing, or performance marketing environment.
  • Experience with tools such as Asana, ClickUp, Monday.com, Notion, Airtable, Slack, Google Workspace, or similar project management and documentation platforms.
  • Experience building internal processes, SOPs, dashboards, or reporting systems.

  • Quarterly OKRs are translated into clear action plans and consistently monitored.

  • You become a trusted operational partner who helps the agency run more smoothly every week.
