Description
Performs all accounting support functions as they relate to the maintenance of Accounts Payable, Accounts Receivable, general accounting support, and related data entry.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
AP: Assist with processing invoices and other expenses
- Receives and reviews invoices and expense reports for accuracy.
- Prepares payment request form with appropriate information.
- Enters data into the accounting system for processing.
- Assists with routing of invoices for department and owner approvals.
- Assists with printing checks, organizing the signing of checks, and preparation of check positive pay files.
- Processes checks for mailing.
- Scans documents for filing, and maintains files of paid invoices and approvals.
- Processes tax checks and applicable forms/letters.
- Assists with generation and maintenance of blanket purchase order forms, approvals, and spreadsheets along with the regular review of forms.
- Cross-trains on Payables Coordinator duties sufficient to provide temporary support for absences.
AR: Assist with processing of payments and other revenues
- Daily processing of check remote deposit.
- Assist with gathering and submitting information for monthly collections submissions and reconciliation.
- Miscellaneous tasks, such as providing W-9’s for customers, researching historical AR items, etc.
- Cross-trains on Receivables Coordinator duties sufficient to provide temporary support for absences.
General Accounting:
- Daily mail pickup, sort and distribute
- Assists with maintaining documentation of applicable policies and procedures.
- Assist with simple bank reconciliations and accounting entries.
- Assist with regular inventory counts.
- Annual coordination and cycling of Accounting records.
EDUCATION and/or EXPERIENCE:
One to three years’ experience in an accounting role, or three to five years’ experience in an administrative or similar role. Education may substitute for experience. QuickBooks experience required.
