A Day in the Life:

  • Own the end-to-end budget management process, including yearly projections, forecasting updates, and partnership with FP&A to align on financial plans.
  • Oversee invoice management and purchase request creation through tools such as Allocadia and NetSuite (or similar systems).
  • Coordinate with cross-functional teams to track new requests, contract finalizations, and budget adjustments in real time.
  • Manage renewals and contract lifecycles, ensuring compliance with governance provisions such as no autorenewal clauses, pricing caps, and payment terms.
  • Lead the procurement process from purchase initiation through final approval, maintaining documentation and process accuracy.
  • Serve as a subject matter expert for marketing team inquiries related to procurement, vendor renewals, and contract governance.
  • Build and maintain strong vendor relationships, overseeing performance, resolving escalations, and managing negotiation points.
  • Partner closely with Legal, Vendor Risk Management, IT Governance Board, and Accounting to ensure seamless contract execution and adherence to organizational policies.
  • Maintain a renewal and task calendar to proactively track key dates and deliverables.
  • Deliver executive updates and reporting on budget status, vendor performance, and process improvements.

What it takes:

  • Proven experience managing procurement operations, renewals, and contract governance in a fast-paced environment.
  • Strong financial acumen with demonstrated success in forecasting, budgeting, and managing software and professional fee spend.
  • Hands-on experience with financial and procurement tools such as Allocadia, NetSuite, or comparable systems.
  • Deep understanding of vendor management best practices, including negotiation, relationship building, and issue resolution.
  • Ability to translate complex contract terms and budget data into clear, actionable insights for stakeholders.
  • Collaborative approach to working with cross-functional partners in Legal, FP&A, IT Governance, and Accounting.
  • Exceptional organizational skills, with the ability to manage multiple concurrent renewals and procurement activities.
  • Excellent communication and presentation skills for engaging with executive stakeholders.
  • Commitment to process improvement, documentation accuracy, and operational excellence.
  • Leadership mindset with a focus on accountability, transparency, and partnership.
