Fleet Manager

Full-Time | Remote | $75,000 Annually

About This Role

SpartanX is seeking an experienced, highly organized Fleet Manager to oversee company vehicles supporting our residential solar operations across multiple markets.

This position is responsible for managing fleet inventory, vehicle assignments, maintenance, repairs, registrations, insurance coordination, and overall fleet performance. The Fleet Manager will work closely with Field Operations, Human Resources, Finance, and company leadership to ensure vehicles are properly maintained, cost-effective, compliant, and available to support business needs.

We're looking for someone who can manage a growing fleet, identify opportunities to reduce expenses, and maintain accountability across geographically distributed teams.

What You'll Do

Fleet Operations & Vehicle Management

  • Oversee daily fleet operations across multiple U.S. markets.
  • Maintain accurate records of company vehicles, assigned drivers, locations, and vehicle status.
  • Coordinate vehicle assignments, transfers, replacements, and returns.
  • Manage vehicle acquisition and disposal processes in coordination with leadership.
  • Monitor vehicle utilization and recommend adjustments based on operational needs.
  • Coordinate vehicle availability for new hires, transfers, and market expansion.
  • Establish and maintain consistent fleet management procedures.

Maintenance & Repairs

  • Coordinate preventive maintenance, inspections, and vehicle repairs.
  • Track maintenance schedules, mileage, and service history.
  • Work with dealerships, repair facilities, and fleet service providers.
  • Minimize vehicle downtime through proactive maintenance and timely repairs.
  • Review repair estimates and coordinate approvals according to company procedures.
  • Identify recurring maintenance concerns and recommend cost-effective solutions.
  • Monitor vehicle condition and ensure fleet assets remain safe and operational.

Fleet Compliance & Driver Accountability

  • Maintain current vehicle registrations, inspections, and required documentation.
  • Coordinate fleet insurance records, claims, and accident reporting.
  • Work with Human Resources to verify driver eligibility and required documentation.
  • Monitor compliance with company vehicle policies and applicable regulations.
  • Coordinate vehicle recovery and reassignment following employee separations.
  • Track vehicle-related incidents, damages, and policy concerns.
  • Escalate safety or compliance issues to appropriate leadership.

Vendor & Expense Management

  • Manage relationships with fleet management companies, dealerships, maintenance providers, and other vendors.
  • Review fleet-related invoices, maintenance expenses, and operating costs.
  • Monitor fuel expenses, mileage, vehicle utilization, and repair trends.
  • Identify opportunities to reduce unnecessary fleet expenditures.
  • Assist with fleet budgeting, expense forecasting, and cost reporting.
  • Evaluate vendor performance and recommend improvements.
  • Support negotiations for vehicle services and fleet-related agreements.

Reporting & Cross-Department Coordination

  • Maintain accurate fleet records within company systems.
  • Provide regular reports on vehicle inventory, assignments, maintenance, expenses, and utilization.
  • Coordinate with Field Operations regarding vehicle availability and operational requirements.
  • Work with Human Resources and Onboarding on vehicle assignments for new employees.
  • Partner with Finance regarding fleet expenses, invoices, and budgeting.
  • Identify fleet-related operational risks and communicate concerns to leadership.
  • Support fleet planning as SpartanX expands into additional markets.

What We're Looking For

  • Previous experience in fleet management, fleet operations, transportation management, or a related role
  • Experience managing vehicles across multiple locations or geographic markets.
  • Strong understanding of vehicle maintenance, repair coordination, and preventive maintenance programs.
  • Experience managing vendor relationships and controlling fleet expenses.
  • Knowledge of vehicle registrations, insurance coordination, and fleet compliance requirements.
  • Strong organizational and problem-solving skills.
  • Ability to manage multiple priorities and deadlines independently.
  • Experience with fleet management software, tracking systems, and reporting tools.
  • Proficiency with Microsoft Excel and other business applications.
  • Strong communication skills and ability to coordinate across multiple departments.
  • Ability to work effectively in a fast-paced, growing organization.

Preferred Qualifications

  • Experience managing fleets for construction, solar, utilities, telecommunications, or other field-service organizations.
  • Experience with vehicle acquisition, leasing, and disposal.
  • Familiarity with GPS tracking, telematics, and fuel management systems.
  • Experience supporting a geographically distributed workforce.
  • Experience developing fleet policies and cost-control procedures.

Schedule

Primarily Monday–Friday, with occasional after-hours or weekend availability based on operational needs.
