Description

The Senior Project Coordinator: Team Solutions role assists the team in all project-related tasks focused on helping clients with the creation/update/maintenance of their entity and works with business owners during mergers and reorganization. Tasks include developing core strategies for projects, creating project deliverables, communicating with clients, and monitoring team projects. The position requires a high level of independent work and strong organizational, analytical, and communication skills. We are searching for a self-starter who is detail-oriented and loves to work in a team environment.


Key Responsibilities

1. Project Planning and Coordination:

    • Supports projects from inception to completion by reviewing and making decisions on project plans, timelines, and milestones.
    • Reviews project activities and resources to ensure smooth execution and delivery
    • Monitors project progress and identify potential risks or issues, promptly addressing them to keep projects on track.
    • Supports project team, as needed.

2. Communication and Reporting: 

    • Assists Project Manager with client communication.
    • Communicates with clients, project team, stakeholders, and management.
    • Sits in on / Conducts project meetings, providing clear updates and action items to all involved parties.
    • Highlights key metrics, achievements, and challenges for internal purposes.

3. Project Deliverables:

    • Review meeting agendas, materials, and presentations.
    • Review and edit various documents, including reports, presentations, spreadsheets, and proposals.
    • Support ongoing projects.

4. Resource Management:

    • Assist in resource allocation and optimization, ensuring the right skills and capacities are utilized effectively.
    • Identify resource gaps and work with relevant teams to address them promptly.

5. Quality Control:

    • Implement quality control processes to ensure deliverables meet established standards and requirements.
    • Conduct quality assurance checks on project deliverables and take corrective actions as necessary.

6. Risk Management:

    • Analyze potential project risks and develop risk mitigation strategies.
    • Monitor and track identified risks, taking proactive measures to minimize their impact on project outcomes.

7. Budget & Financial Management:

    • Support Project Manager in budget development and management.
    • Monitor project expenses and assist in cost control efforts.

8. Process Improvement:

    • Continuously assess project coordination processes and propose improvements for increased efficiency and effectiveness. 

5. Research Tasks: 

    • Stay informed of recent industry updates
    • Stay informed of recent updates impacting your services provided by the Strategic Organizational Planning team
    • Other research-related tasks, as needed


Qualifications

  • Strong working knowledge of Microsoft Office Programs (e.g. Word, Excel, PowerPoint, and Teams)
  • Proficient in project management software tools and office productivity suites
  • Excellent written and verbal communication skills to convey complex information to various stakeholders effectively
  • Detail-oriented with a focus on quality and accuracy
  • Proven experience as a project coordinator or similar role, preferably in complex projects or multiple projects simultaneously
  • Strong organizational skills
  • Team player with a positive “can do” attitude
  • Problem-solving skills and the ability to adapt to changing project requirements
  • Leadership capabilities to guide and support project teams effectively
  • Experience with entities, entity structures, and buy-sell provisions, preferred
  • Knowledge of the financial services industry, preferred
  • Relevant certifications (e.g., CPA, CEPA, JD) are advantageous but not mandatory.

The pay range for this role is:

70,000 - 120,000 USD per year (Remote - United States)
