About the role

Steamroller Studios is seeking a detail-oriented, proactive Executive Assistant to serve as the operational backbone for three key leaders: our CEO, Chief of Original Content, and Business Development Executive. In this high-impact administrative position, your primary focus will be mastering dynamic multi-calendar scheduling and maintaining robust spreadsheet tracking systems. You will streamline daily executive operations, manage multi-time-zone logistics, and ensure seamless communication across internal studio departments and external industry partners. We are looking for an administrative power user who thrives in a fast-paced, virtual entertainment environment and excels at turning complex schedules and data into clear, actionable workflows. This is a full-time position and has the option of working in-house or remote. 

 

Responsibilities 

  • Manage complex calendars and heavy scheduling requests for three key executives: the CEO, Chief of Originals, and Business Development Executive.
  • Deeply comprehend the distinct priorities of each executive and the studio at large to make sound, proactive scheduling decisions.
  • Act as the primary administrative point of contact among executives, department managers, internal staff, clients, and external industry partners.
  • Build, maintain, and update accurate spreadsheets, tracking databases, and operational logs to monitor executive action items, business development pipelines, and department metrics.
  • Maintain timely and accurate information flow across all executive communication channels.
  • Handle sensitive, highly confidential executive, client, and studio information with absolute discretion.
  • Prepare meeting agendas, take detailed notes, and transcribe action items during executive and strategic client meetings.
  • Present excellent customer service and communication skills to external connections, prospective partners, and studio staff.
  • Organize, structure, and update studio documentation across cloud storage and knowledge management platforms.
  • Coordinate complex travel itineraries—including researching, vetting, and booking transportation, lodging, dining, and event logistics for executive travel.
  • Provide general, strict administrative support to ensure smooth day-to-day executive operations.
  • Contribute to team efforts and perform additional administrative tasks to support overarching studio goals as needed.

Requirements

  • High school diploma; Associate or Bachelor's degree preferred.
  • At least 3 years of experience in an executive assistant or high-level administrative role, ideally supporting multiple managers or C-suite executives.
  • Advanced proficiency with spreadsheets, including formulas, data organization, tracking systems, and visual presentation.
  • Exceptional calendar management, time management, and organizational skills with proven ability to balance competing executive priorities.
  • Self-directed, highly proactive, and capable of completing complex tasks without direct supervision.
  • Outstanding verbal and written communication skills with acute attention to detail.
  • Strong problem-solving abilities and a proactive approach to bottleneck prevention.
  • Proven ability to process, organize, and track large volumes of information and communications across multiple active projects.
  • Ability to draw connections among intel from various areas, pinpointing operational opportunities and predicting scheduling issues before they arise.
  • Excellent interpersonal skills to build rapport across all studio departments and collaborate smoothly with staff at various levels.
  • Prior experience working in the animation, video game, VFX, or entertainment media industries is a plus.
  • Direct experience with Google Workspace, Slack, Productive, Confluence, or similar tools is a strong plus.
  • Fluency in English with strong written and verbal communication capabilities.
