Today, Stellar Virtual spans across three states currently, Arizona, Indiana, and Texas, with developing programs being introduced in new states over the next few years. Overview
The Certification Specialist is responsible for the accurate and timely management of all teacher certifications within the organization. This role ensures compliance with state and local regulations by maintaining up-to-date certification records, proactively tracking expirations, assisting teachers with the recertification process, and verifying the certification status of new hires. The Certification Specialist will play a crucial role in ensuring the organization maintains a fully certified and qualified teaching staff.

Essential Duties

  • One Number: 100% of Certified Staff with Active Credentials in Rippling
  • Certification Record Management:
    • Maintain accurate and up-to-date records of all teacher certifications within the Rippling HRIS platform.
    • Ensure all necessary certification documentation (e.g., licenses, endorsements, transcripts) is properly uploaded, organized, and readily accessible in Rippling.
    • Process new certification documentation and updates in a timely and efficient manner.
    • Generate reports from Rippling related to teacher certification status as needed.
  • Certification Audit and Tracking:
    • Regularly audit teacher certification records in Rippling to identify upcoming expirations.
    • Proactively track certification expiration dates and notify teachers and relevant stakeholders in advance of deadlines.
    • Maintain a system for tracking the progress of recertification efforts.
  • Recertification Assistance:
    • Serve as a point of contact for teachers regarding the recertification process.
    • Provide guidance and support to teachers on recertification requirements, procedures, and deadlines.
    • Assist teachers with accessing relevant recertification resources and information.
    • Track teacher progress through the recertification process and follow up as needed.
  • New Hire Certification Vetting:
    • Review and verify the certification status of all new teaching candidates during the hiring process.
    • Ensure that new hires possess the required certifications and endorsements for their assigned roles.
    • Communicate certification requirements and processes to prospective employees.
    • Maintain records of certification verification for all new hires.
  • Compliance and Reporting:
    • Stay informed about the current state and local regulations related to teacher certification.
    • Assist in preparing reports and documentation related to teacher certification for compliance purposes.
    • Escalate any potential certification compliance issues to the appropriate personnel.
  • Communication and Collaboration:
    • Communicate effectively with teachers, administrators, and other stakeholders regarding certification matters.
    • Collaborate with Human Resources and other departments to ensure a smooth and efficient certification process.
    • Respond to certification-related inquiries in a timely and professional manner.
  • System Maintenance:
    • Maintain the integrity of the certification data within Rippling.
    • Assist with troubleshooting any issues related to certification records in Rippling.
    • Participate in training and development related to Rippling and certification processes.


Knowledge, Skills & Attributes 

  • 2-3 years of experience with data entry, record-keeping, and general office procedures demonstrates organizational skills.
  • Customer service or support roles: Interacting with individuals, providing information, and assisting with processes are key aspects of this role.
  • Experience in an educational setting: Familiarity with the education system, even in a non-certification role, can be helpful.
  • Strong organizational skills and attention to detail: Accuracy is critical for managing certification records.
  • Proficiency in Google Workspace/Suite (Docs, Sheets, Slides, Keep, Drive, etc.).
  • Excellent written and verbal communication skills with teachers and other stakeholders.
  • Strong record-keeping and data management skills.
  • Problem-solving skills to address teacher inquiries and navigate the recertification process.
  • Ability to maintain confidentiality with sensitive employee information.
  • Highly productive self-starter with enhanced time management skills.


Education & Certification Requirements

  • A high school diploma or equivalent (GED) is required.
