ABOUT THE ROLE
Summer Moon Coffee is looking for a part-time, temporary (three months) Project Coordinator to support our branded merchandise program. The work comes down to three things: keeping timelines on track, catching the details, and building strong working relationships with vendors and store teams. You will manage production schedules, purchase orders, inventory, and product setup for apparel, drinkware, ceramics, and seasonal items, and support the marketing team as needed. We will teach you our systems. What we need from you is the ability to learn the systems, follow-through, organization, and the ability to keep several vendors and deadlines moving at once without being managed closely.

RESPONSIBILITIES

·       Build and maintain a merchandise calendar covering product drops, seasonal items, and production timelines

·       Coordinate merchandise projects from concept approval through delivery, keeping vendors, teams, timelines, and deliverables on track

·       Manage vendor relationships and day-to-day communication with apparel, drinkware, ceramics, and seasonal product suppliers

·       Create and track purchase orders; maintain pricing and cost information

·       Monitor inventory levels, reorder points, and stock across warehouse, stores, and online

·       Set up SKUs and product listings in our inventory management system (Cin7 Dear) and sync to Shopify

·       Manage sampling, proofing, and quality control to ensure products meet brand standards

·       Coordinate order fulfillment for employee pre-orders and ecommerce orders

·       Create product lookbooks and line sheets for each merchandise drop

·       Communicate merchandise launches, updates, and support answers to store teams

·       Resolve vendor issues including damaged goods, credits, and replacements, including on-site inventory counts when needed

·       Assist the marketing team with general marketing support projects

WHAT WE'RE LOOKING FOR

·       A track record of managing timelines, deliverables, and multiple moving parts, in any field: project coordination, account or client coordination, event planning, executive support, purchasing, retail operations, or merchandising

·       Detail-oriented to the point that vendors and teammates trust your work without double-checking it

·       Strong relationship skills: clear, professional, and easy to work with, including when a vendor issue needs a firm hand

·       Reliable and self-directed, comfortable owning a program and reporting progress rather than waiting for direction

·       Clear written communication and solid grammar

·       Proficient in Excel or Google Sheets

·       Experience with inventory or ecommerce systems (Cin7 Dear, Shopify) is a plus, not a requirement

·       Located in the Austin area with the ability to work on-site in Driftwood at least one day per week, plus occasional visits to local stores

SCHEDULE & LOCATION

·       Part-time, temporary- three months: 20 to 25 hours per week, $25 per hour

·       Opportunity to expand hours and responsibilities over time

·       Hybrid: remote with weekly on-site work at Driftwood HQ
