Role Overview 

We're seeking a highly skilled and results-oriented Marketing Operations Manager to drive the efficiency, performance, and scalability of our commercial marketing efforts. This position is part of the Marketing and Field Operations organization, which provides operational support to the Commercial organization, including Brand Teams and other key Commercial functions.

Key Responsibilities 

Promotional Review

This position provides support and direction on the Promotional Review Committee process across major functional areas including: Brand teams, Sales, Sales Training, and Promotion Compliance. The Marketing Operations Manager works as a liaison between the Promotional Review Committee Champions and the Reviewers to manage all aspects of the review process.

 

The Marketing Operations Manager is responsible for working with their Promotional Review Committee Team(s) to prioritize materials, facilitate weekly live meetings, maintain document controls in the system, manage the review schedule, manage expedited reviews and escalate concerns including workload issues or time constraints.

 

The PRC Manager is the main point of contact for the end-to-end Promotional Review Committee process and is accountable for always knowing and following the Promotional Review Committee standard operating procedure.

 

  • Serve as the primary liaison for the end-to-end PRC process, ensuring compliance with SOPs and regulatory standards.
  • Manage submission workflows, review schedules, and live meetings, capturing consensus feedback and ensuring timely approvals in Veeva Vault PromoMats.
  • Conduct preliminary quality reviews of materials and provide proactive guidance to sponsors and agencies.
  • Track and report on submission status, timelines, and process efficiencies; escalate issues as needed.
  • Provide system and process training to internal and external stakeholders; onboard new team members.
  • Collaborate cross-functionally with Regulatory, Medical, Legal, Marketing, Commercial, Compliance and Agencies

Speaker Bureau Administration and Operations

The Marketing Operations Manager supports the execution and administration of corporate meeting and events and HCP programs ensuring seamless logistics, financial management, and compliance tracking. This role assists with day-to-day program coordination, vendor interactions, and reporting, while also working closely with the Medical Marketing team and other key stakeholders to align operational execution with key business deliverables and HCP speaker engagement strategies.

 

  • Support planning, execution, and compliance of HCP speaker programs, corporate meetings, and events.
  • Oversee contracts, budgets, payments, and compliance documentation in partnership with Finance, Legal, Medical, and Marketing.
  • Maintain accurate records of HCP engagement and program performance, ensuring data integrity and audit readiness.
  • Manage vendor relationships and the Speaker Portal, including system functionality, user training, and process improvements.
  • Ensure all engagements comply with aggregate spend reporting, industry regulations, and internal policies.
  • Assist with the sourcing of hotels and planning of sales meetings (launch meetings, POA meetings, etc.) including site visits where necessary. 

Print & Fulfillment Management

 

This role oversees the end-to-end production, inventory, and distribution of promotional materials and partners with sales operations for product samples. The Marketing Operations Manager partners closely with vendors, sales, and marketing teams to align fulfillment with campaign launches and business priorities, while monitoring usage and demand trends to optimize supply, reduce waste, and maintain full audit readiness.

 

  • Oversee production, inventory, and distribution of promotional materials across sales teams and events.
  • Manage vendor partnerships for printing, warehousing, and fulfillment to ensure quality, cost efficiency, and timely delivery.
  • Maintain compliance with regulatory guidelines for promotional materials distribution, including tracking and destruction of expired or outdated materials.
  • Track usage and demand trends; develop reporting to optimize supply levels and reduce waste.
  • Partner with Sales, Marketing, and Compliance to align fulfillment with campaign launches, congresses, and field needs.

Experience 

  • Bachelor’s degree in Marketing, Business, Life Sciences or Hospitality Management; Project Management Certification preferred.
  • 2-5 years of experience in marketing operations or commercial operations within the pharmaceutical, biotech, or healthcare sector.
  • Deep understanding of pharmaceutical regulatory and compliance environment.
  • Sound judgement and attention to detail
  • Familiarity with contracting, budget tracking, and compliance requirements.
  • Proficiency in event management platforms (e.g., Cvent, Veeva Vault, or similar tools).
  • Proficiency in promotional review platforms (e.g.,  Veeva Vault PromoMats).
  • Strong project management skills and ability to lead cross-functional initiatives.
  • Analytical thinker with a strong sense of accountability and performance orientation.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to work independently
