As we continue this growth, we are seeking a Payroll & Benefits Manager to join our Human Resources team.
About the Role
We’re looking for a Payroll & Benefits Manager who can dive into the details while also shaping the big picture. You’ll ensure our employees across the U.S. (multi-state), U.K., and Switzerland are paid accurately and on time, supported by robust benefits programs, and confident that their data is managed with integrity.
This role is both hands-on and strategic: you’ll run payroll, administer benefits, and manage HRIS data while also designing scalable processes, anticipating the needs of a growing global workforce, and partnering with Finance, HR, and vendors to strengthen compliance and efficiency. You’ll also help ensure we remain audit-ready and well-prepared as we move toward commercial launch and the expectations of a future public company.
What You’ll Do
Payroll Management (Operational + Strategic)
- Run multi-state U.S. payroll and U.K. payroll directly through Rippling, ensuring accuracy, timeliness, and compliance across local, state, federal, and international regulations.
- Oversee Swiss payroll via a third-party vendor, ensuring service quality and preparing for eventual in-house transition.
- Reconcile payroll reports and prepare journal entries for Finance, ensuring accurate postings to the general ledger.
- Manage year-end payroll activities (W-2s, P60s, tax filings, and other statutory reports), including the accurate treatment of vehicle allowances, stipends, and other taxable fringe benefits.
- Administer U.S. retirement plan contributions and U.K. pension fund allocations, ensuring accurate transfers, reconciliations, and compliance.
- Maintain workers’ compensation compliance, including proper state setup, reporting, employee classifications, and coordination of annual audits with carriers and brokers.
- Ensure I-9 employment verification compliance, including accurate documentation, timely reverifications, and audit readiness.
- Proactively build processes to support payroll expansion into new geographies as we scale.
- Maintain audit-ready documentation and scalable practices to meet the expectations of commercial launch and a future public company.
Benefits Administration (Operational + Strategic)
- Administer employee benefits in the U.S., U.K., and Switzerland, including health, dental, vision, life, disability, retirement, and wellness programs.
- Partner with brokers and vendors to evaluate programs, recommend enhancements, and ensure offerings remain competitive and aligned with our culture.
- Provide responsive support for employee questions while also helping plan for the evolving needs of a global workforce.
- Ensure compliance with ERISA, ACA, GDPR, and other applicable frameworks.
HRIS & Data Integrity
- Maintain accurate employee records in Rippling, ensuring timely entry, compliance, and data integrity.
- Build and deliver reports and dashboards for HR, Finance, and leadership to support planning, audits, and decision-making.
- Partner with HR, Finance, and IT to maintain seamless data flows between systems and ensure audit-ready reporting for compliance and IPO readiness.
Process Improvement & Compliance
- Identify opportunities to streamline and automate payroll and benefits operations for efficiency and employee experience.
- Develop scalable policies, documentation, and practices to support rapid growth and global expansion.
- Stay ahead of employment law and regulatory changes across all jurisdictions, ensuring compliance and readiness for future milestones such as commercial launch and IPO preparation.
- Collaborate cross-functionally with HR, Finance, IT, and Compliance to strengthen controls and reduce risk.
What You’ll Bring
- Prior experience running payroll for organizations of 200+ employees across multiple U.S. states is required.
- Strong knowledge of multi-state U.S. payroll and benefits; U.K. and/or Swiss payroll/benefits experience a plus.
- 5+ years of payroll and benefits experience, ideally with multi-country exposure.
- Hands-on experience with Rippling (or another HRIS/payroll system) and proven ability to maintain HRIS data integrity.
- Familiarity with journal entry preparation, payroll reconciliations, and retirement/pension administration.
- Experience ensuring audit readiness and supporting high-growth environments preparing for commercial scale-up.
- Knowledge of workers’ comp programs and I-9 verification compliance.
- Ability to balance day-to-day execution with strategic planning.
- Experience managing vendors and holding them accountable for service excellence.
- Strong analytical, organizational, and communication skills.
- Comfort working in a fast-paced, scaling, global environment.
