Maintenance Administrator


If you’re an organized and detail-oriented professional with administrative experience, strong multitasking skills, and a passion for keeping operations running smoothly, The Blackhawk Group is looking for you to join our Glendale, AZ team as a Maintenance Administrator. In this key support role, you’ll handle warranty claim submissions, accounts receivable, HR coordination, and payroll-related tasks that keep our maintenance operations efficient and effective.

As our Maintenance Administrator, you’ll collaborate closely with the Director of Operations, Maintenance, Avionics, and Parts Departments to ensure accurate documentation, timely claim processing, and smooth financial tracking. You’ll also act as the go-to liaison for onsite HR needs, helping bridge communication across teams. Key Responsibilities:


·        Submit warranty claims upon work completion in accordance with Vendor and Aircraft Manufacturer guidelines.

·        Collect the required information from internal teams to complete and submit claims.

·        Maintain spreadsheets to track warranty status, claims, and payments.

·        Collect and process accounts receivable payments (in-person and by mail).

·        Perform routine bank deposits.

·        Reconcile accounts receivable reports provided by the accounting department.

·        Provide regular status updates on outstanding receivables.

·        Serve as the onsite point of contact for HR-related issues.

·        Review bi-weekly timecards for payroll processing and attendance tracking.

·        Support the Director of Operations with assigned administrative tasks.


Required Qualifications and Skills:


·        Minimum 2 years of administrative or office support experience.

·        Strong organizational and multitasking abilities.

·        Proficiency with Microsoft Office Suite (Excel, Word, Outlook).

·        Excellent written and verbal communication skills.

·        Strong attention to detail with the ability to meet deadlines.

·        Ability to work both independently and collaboratively in a team environment.


Preferred Qualifications:


·        Experience in aviation, maintenance, or related industry.

·        Familiarity with accounts receivable or basic bookkeeping.

·        Previous HR or payroll support experience.
