Purpose of the Role:

  • Kodo Hotel and Restaurant is seeking a dynamic, results-oriented Commission-Only Event Planner / Event Coordinator to lead all sales and coordination efforts for events hosted at our Los Angeles venue. This role is pivotal in driving event revenue growth, enhancing our venue's visibility, and ensuring exceptional client and guest engagement for weddings, special events, and private gatherings. It is ideal for a proactive leader who excels in client relationship-building, creative event conceptualization, and meticulous execution.

Responsibilities:


Event Sales Strategy & Business Development

  • Collaborate with hotel management to develop and execute a comprehensive event sales plan that targets key segments: social events, corporate gatherings, private dining, and unique celebrations.
  • Identify new event opportunities through direct sales outreach, professional networking, inbound inquiries, and strategic community engagement within the Los Angeles market.
  • Conduct compelling venue tours and consult with potential clients to deeply understand their event needs, vision, and budget.
  • Oversee negotiation and execution of all client contracts for events, ensuring alignment with venue guidelines and revenue goals.
  • Cultivate and maintain strong relationships with key clients, event vendors, and local organizations to drive repeat and referral event business.

Event Coordination & Execution

  • Design, implement, and manage all aspects of on-property event coordination, including detailed timelines, floor plans, vendor logistics, and seamless day-of management.
  • Ensure the hotel and restaurant event spaces are accurately and compellingly represented on all relevant platforms (e.g., event directories, wedding sites, social media).
  • Coordinate with hotel teams to ensure smooth operational delivery for all events, adapting venue services to specific event needs.
  • Oversee the creation of digital and printed sales collateral, property-specific event promotions, and bespoke marketing materials for clients.

Client & Vendor Liaison

  • Serve as the primary liaison between the client, venue operations teams (culinary, service, housekeeping), and all external event vendors.
  • Provide expert guidance to clients on event flow, decor, culinary options, and logistical considerations to ensure a cohesive and memorable experience.

Performance Tracking & Reporting

  • Monitor and analyze event sales and coordination performance; prepare regular reports outlining booking progress, client feedback, and market trends.
  • Track campaign effectiveness and adjust strategies as needed to ensure event revenue and booking goals are met.

Qualifications, Skills, Abilities and Experience:


Event Sales & Business Development Expertise

  • Proven track record in developing and executing integrated event sales strategies that drive revenue and client satisfaction.
  • In-depth understanding of the event planning and hospitality landscape, with experience in the Los Angeles property market or a comparable metropolitan region.
  • Strong background in lead generation, prospecting, closing deals, and building long-term client relationships within the events sector.
  • Working knowledge of local event marketing tactics, including print collateral, digital outreach, social media engagement, and tourism partnerships.

Communication & Leadership

  • Exceptional written and verbal communication skills with the ability to tailor messaging to diverse clients and partners.
  • Confident presenter and persuasive negotiator, skilled in client-facing and internal communications.
  • Inspiring and supportive professional who collaborates effectively with clients and cross-functional hotel teams.

Technical Proficiency

  • Proficient in event management software, CRM platforms (such as Delphi, Salesforce, or similar tools), and Microsoft Office Suite.
  • Experience with content creation platforms like Canva and familiarity with digital marketing workflows relevant to events.
  • Skilled in managing online listings and social media content calendars for events; able to liaise with marketing and event vendors as needed.

Organizational & Project Management Skills

  • Excellent organizational skills with the ability to manage multiple events, campaigns, and client relationships concurrently.
  • Detail-oriented with strong time management and prioritization capabilities in fast-paced event environments.

Able to speak and hear. Close and distance vision. Frequently walks and stands for long periods during event execution and venue tours. Regularly lifts/carries up to 25lbs (event materials). Continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills. Continually works in normal office conditions, event spaces, and in close proximity to others. Additional physical, visual requirements and working conditions may include but are not limited to:

  • Ability to work a flexible schedule including day, night, weekend, and holiday hours as required by events.
  • Stand and walk for extended periods of time.
  • Lift, push, pull, carry 25lbs.


Minimum Qualifications:

  • Minimum of 5-7 years of progressive event planning, sales, or coordination experience in the hospitality or events industry, with demonstrated success in managing events from conception to completion.
  • Experience with event management systems, sales analytics, and digital marketing strategies relevant to events.
  • Excellent leadership, communication, and negotiation skills.
  • Proven ability to develop and implement successful event sales strategies and drive revenue growth.

Schedule / Travel Requirements:

  • Willingness to work a flexible schedule including nights, weekends, and holidays, as dictated by event schedules.
